Job Description

Role Overview

This position sits within the Digital Futures Programme Management Unit and provides essential administrative and financial backbone to the team's day-to-day operations. Reporting to the Finance Lead, you will ensure that programme logistics run smoothly, financial transactions are processed accurately, and documentation remains organised for reporting and audit readiness. The role matters because it enables the wider programme team to focus on delivery by removing administrative friction and maintaining financial rigour.

Key Responsibilities

  • Plan and coordinate all logistical aspects of programme meetings, workshops, training events, and stakeholder activities, including venue booking, materials preparation, and attendee communication.
  • Arrange domestic and international travel, accommodation, and flights for programme consultants and temporary staff; manage onboarding and orientation logistics for new arrivals.
  • Draft professional correspondence, meeting minutes, and internal memos; maintain up-to-date filing systems and track action points from discussions to ensure follow-up with relevant stakeholders.
  • Support the organisation of field visits, community engagement events, and programme-related activities by liaising with local teams and external partners.
  • Process payment requests for the programme management unit, verifying documentation and ensuring compliance with organisational policies.
  • Assist in monitoring partner disbursements and preparing supporting records for financial reporting, compliance checks, and internal or external audits.
  • Organise and maintain finance files, receipts, and other supporting evidence to facilitate accurate record-keeping and timely retrieval.
  • Use standard AI tools to improve administrative workflows, data sorting, or document summarisation where appropriate.

Requirements & Qualifications

  • Holds a recognised qualification or degree in business administration, social sciences, development studies, or a closely related field.
  • Demonstrates previous work experience in a finance and administration role, ideally within a programme, project, or international development setting.
  • Strong organisational and documentation skills, with meticulous attention to detail in filing, data entry, and record management.
  • Solid numeracy and IT proficiency, including confident use of spreadsheets, word processing, and cloud-based collaboration platforms.
  • Familiarity with practical applications of artificial intelligence (e.g., using AI-powered scheduling assistants, text generation, or data organisation tools) to enhance day-to-day efficiency.
  • Ability to prioritise multiple tasks, meet deadlines, and communicate clearly with internal teams and external partners.
  • Willingness to complete an online written task (approx. 1 hour) and participate in on-site interviews as part of the selection process.
