Job Description

Role Overview

This is a field-heavy position with a Nairobi-based real estate firm, best suited to someone who is comfortable moving between properties for most of the working day rather than sitting behind a desk. You will act as the employer's eyes and ears on the ground, carrying out inspections, verifying who is actually living in each unit, capturing evidence of property condition, and supporting the lettings team during viewings. The work directly protects the value of the client's residential and commercial portfolio, so your accuracy and attention to detail will feed into every maintenance, leasing, and arrears decision made by the Property Manager.

Key Responsibilities

  • Plan and complete routine and short-notice site visits across a portfolio of residential and commercial properties in Nairobi and its surrounding areas.
  • Check each unit for structural soundness, utility functionality, safety hazards, cleanliness, and unauthorised alterations, then record findings with clear photographs and written notes.
  • Manage physical handovers when tenants move in or out, documenting the exact condition of floors, walls, fittings, and fixtures and flagging any damage claimed against the deposit.
  • Track contractor progress at properties undergoing repair or renovation, verifying that agreed scopes are followed and that workmanship meets the firm's standards.
  • Serve as the first point of contact for tenants in the field, listening to concerns, answering practical queries, and escalating only the issues that require the Property Manager's involvement.
  • Carry out door-to-door follow-ups on overdue rent, deliver formal demand notices or eviction letters when instructed, and report each tenant's response accurately.
  • Keep property records up to date by confirming true occupancy, current rental rates, unit measurements, available amenities, and the status of vacant premises.
  • Support leasing and marketing activity by opening units for prospective tenants, presenting features truthfully, distributing leaflets in targeted neighbourhoods, and feeding local market insights back to the office.

Requirements & Qualifications

  • Hold a Diploma or Bachelor's Degree in Business, Real Estate, Property Management, Land Economics, or a closely related discipline.
  • Have at least three years of working experience in real estate field operations, site inspection, property administration, or a similar role with direct tenant contact.
  • Be fully proficient in Microsoft Word and Excel for producing condition reports, updating tracking sheets, and summarising field data.
  • Show comfort using mobile reporting tools or apps to capture photos, enter notes, and send updates while working on location.
  • Demonstrate reliable self-management, since the role requires planning your own daily routes and working without close supervision for long stretches.
  • Communicate clearly and professionally in both English and Kiswahili, with the ability to write concise field reports and speak persuasively with tenants, contractors, and prospective clients.
  • Think analytically enough to notice early warning signs of property deterioration, tenancy fraud, or compliance risks and raise them before they become expensive problems.
  • Reside in Nairobi and possess strong working knowledge of the city's residential estates, including access routes and neighbourhood security considerations.
