This Executive Assistant role sits at the center of the technology leadership team at VTS, a real estate technology company. You will directly support the Chief Product Officer and Chief Technology Officer, handling the operational rhythm that allows them to focus on product and engineering decisions rather than administrative logistics. Day to day, that means managing shifting calendars, arranging domestic and international travel, preparing executives for high-stakes meetings, and clearing obstacles before they become problems — always with complete discretion.
Key Responsibilities
- Maintain complex and ever-shifting calendars for the Chief Product Officer and Chief Technology Officer, prioritizing meetings, focus time, and commitments across time zones.
- Coordinate end-to-end travel for domestic and international trips, including flights, hotels, ground transportation, and detailed itineraries.
- Act as a gatekeeper for executive communications, triaging emails and requests, drafting responses when appropriate, and ensuring follow-ups never slip.
- Prepare leaders for meetings and presentations by gathering background materials, building agendas, and aligning stakeholders before key discussions.
- Track action items and deadlines from executive meetings, following up with owners to keep deliverables moving.
- Process expense reports accurately and on time, maintaining receipts and supporting documentation.
- Partner with People Operations and other teams to coordinate all-hands meetings, offsites, team events, and employee engagement initiatives.
- Identify and resolve operational friction in the executives' workflows, from scheduling conflicts to cross-team communication gaps.
Requirements & Qualifications
- Experience in executive support, administrative operations, or a related field, with a proven record of supporting senior-level leaders as a trusted partner.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment without losing sight of details.
- A high standard of professionalism and discretion when handling confidential information, including compensation, personnel matters, and strategic plans.
- Strong written and verbal communication skills, with confidence interacting with executives, clients, and cross-functional teams.
- Advanced proficiency in Google Workspace — Gmail, Calendar, Docs, Sheets, and Slides — as well as common productivity and expense tools.
- Deep knowledge of executive calendar management, travel coordination, meeting preparation, and expense reporting.
- A collaborative mindset and willingness to jump into administrative and operational tasks that keep the executive team running smoothly.
- Availability to work from the New York office five days a week.
- A bachelor's degree is preferred but not required.
