Job Description

Key Responsibilities

Strategic Event Planning & Management

  • Develop, plan and implement a comprehensive annual events calendar aligned with Tatu City's marketing engagement strategies.
  • Plan and execute various events including property launches, investor meetings, community gatherings and sports events.
  • Collaborate with the Brand Activations Lead to develop a calendar for all brand activation events and activities
  • Manage event budgets, ensuring cost-effectiveness while maintaining high-quality standards.
  • Create detailed event proposals, including timelines, venues, suppliers, staffing, and promotional materials.
  • Track and reconcile all event expenses, providing regular budget reports.

Stakeholder Management

  • Build and maintain relationships with key stakeholders, including residents, corporate clients, government officials, and community leaders.
  • Coordinate with internal departments (Marketing, Sales, Operations) to ensure event objectives align with overall business goals.
  • Identify and manage relationships with vendors, suppliers, and contractors.
  • Oversee event staff and volunteers, providing clear direction and leadership for successful events execution.
  • Liaise with sponsors, partners, and stakeholders to ensure their requirements and expectations are met.

Operations & Logistics Coordination

  • Coordinate all event logistics including venue selection, layout planning, catering, transportation and technical requirements.
  • Ensure compliance with safety regulations and obtain necessary permits and licenses.
  • Manage event setup, execution, and breakdown, ensuring all aspects run smoothly and efficiently.
  • Implement and maintain an efficient event management system.
  • Handle crisis management and develop contingency plans.

Marketing & Communications

  • Work closely with the Marketing team to develop event promotion strategies and drive attendance.
  • Work with the marketing team to create promotional materials, including flyers, posters, social media content, and press releases.
  • Utilize various channels to advertise events, including online platforms, print media, and direct outreach.
  • Ensure consistent brand representation across all events.
  • Develop and implement marketing strategies to promote events.

Performance Measurement

  • Establish KPIs (MQLs, SQLs, Sales targets) for event success and implement measurement tools.
  • Conduct post-event analysis to gather feedback, assess the success of events, and prepare comprehensive reports within a week post-event, which should include results of the above-mentioned KPIs.
  • Analyze event data and metrics to identify areas for improvement and inform future event planning.

Compliance and Safety

  • Ensure all events comply with relevant health, safety, and legal regulations.
  • Develop and implement risk management plans to address potential issues and emergencies.

Requirements

  • Bachelor's degree in a relevant field such as Events Management, Marketing, Business Administration, or related field.
  • Minimum 8-10 years of experience in events management, preferably in real estate or large-scale development projects.
  • Proven track record of successfully managing high-profile events.
  • Excellent project management and organizational skills.
  • Strong budget management and financial acumen.
  • Superior interpersonal and networking abilities.
  • Strong leadership and team management capabilities.
  • Creative thinking with problem-solving and crisis management skills.
  • Working knowledge of digital marketing and social media platforms.
  • Experience in a fast-paced environment, multi-tasking and quick decision-making.
