Job Description

Role Overview

This position involves managing the procedural backbone of a busy Nairobi law firm: getting documents to the right registry, tracking court dates, and ensuring nothing slips through the cracks. You will be the link between advocates, courts, and clients, handling everything from sealed copies to hearing bundles. Your work keeps the firm’s litigation calendar on track and gives advocates the information they need to prepare effectively.

Key Responsibilities

  • Draft, compile, and physically present legal paperwork to courts and government offices for filing, sealing, and stamping.
  • Visit court registries to submit pleadings, collect processed documents, and follow up on outstanding filings.
  • Maintain a reliable diary of hearings, rulings, and procedural cut-off dates; alert advocates well in advance of key milestones.
  • Organise and update case files, docket logs, and registers to reflect the latest procedural steps in every matter.
  • Effect service of summonses, notices, and other legal documents on parties in accordance with court directives.
  • Coordinate the safe transfer of files between the firm, court registries, and external agencies such as auctioneers or government offices.
  • Assemble and index court bundles, ensuring that every required document is ready and correctly paginated before hearings.
  • Handle scanning, copying, and archival of confidential client records while maintaining strict data security standards.

Requirements & Qualifications

  • Diploma in Law, Legal Studies, Business Administration, or a closely related field.
  • At least 3 years of hands-on experience in a law firm, legal department, or court setting.
  • Proven knowledge of court filing procedures, registry processes, and legal documentation requirements.
  • Familiarity with civil and commercial litigation workflows is an asset.
  • Strong organisational and time management skills, with the ability to prioritise multiple urgent tasks.
  • Excellent written and verbal communication skills for clear interaction with advocates, court staff, and clients.
  • Meticulous attention to detail when checking documents, dates, and record entries.
  • Proficiency in Microsoft Office applications and comfort with basic case management or document management systems.
  • Self-driven, professional, and capable of working independently with minimal supervision.
