Job Description

Role Overview

As Legal Clerk at Hakki Africa Ltd, you will keep the legal unit running smoothly by owning the paperwork, calendars and records that sit behind every courtroom appearance, financing agreement and recovery action. Working closely with the legal team, internal operations divisions and appointed external advocates, you ensure nothing falls through the cracks — hearings are diarised, deadlines are flagged early, and case files can be located and produced at a moment's notice. In a vehicle financing business where timely enforcement protects both the company and its customers, your accuracy and follow-through directly influence how quickly matters are resolved.

Key Responsibilities

  • Maintain the litigation register, active court matrix and case archive, keeping every entry current as matters progress, adjourn or conclude.
  • Diarise hearing dates, statutory filing deadlines and outstanding action points, and escalate anything at risk of being missed.
  • Assemble and organise case bundles, supporting evidence and court documentation for matters awaiting hearing or ruling.
  • Keep the master contract register, executed financing agreements and collateral records complete, accurate and easy to retrieve.
  • Act as the day-to-day link between internal departments and appointed external law firms, relaying instructions and confirming they were received and actioned.
  • Follow up with external advocates on matter progress, court rulings and filings that are still pending.
  • Preserve debt recovery records, execution files and repossession documentation so that recovery actions can be supported with a clean paper trail.
  • Help track the implementation of board-approved legal policies and risk compliance measures, and prepare periodic status summaries that flag urgent files needing legal intervention.

Requirements & Qualifications

  • A Bachelor of Laws (LL.B), Diploma in Law or Legal Studies qualification from a recognised institution.
  • One to three years of hands-on experience in legal administration, clerking or law firm clerical support.
  • Practical familiarity with Kenyan legal documentation, court procedures and the civil litigation cycle.
  • Strong working command of Microsoft Office, Google Workspace and case or task management tools.
  • Exceptional record-keeping discipline, rigorous follow-up habits and a sharp eye for detail.
  • Clear written and verbal communication, with the confidence to chase updates from advocates and colleagues alike.
  • The ability to juggle several legal deadlines at once and keep priorities straight under pressure.
