Role Overview
As a Business Development Administrator within our experiential division, you'll act as the financial gatekeeper between sales and project execution. Day to day, you'll review every proposal and quote for accurate costing and margins, prepare compliant tax documentation, and confirm that all contracts and payment commitments are finalized before any project moves into operations. Your work protects both the company's profitability and its reputation, ensuring that every event runs on a solid commercial foundation.
Key Responsibilities
- Review event quotes and project files ahead of client dispatch, verifying that transport, labour, asset costs, and margin targets are fully accounted for and correctly calculated.
- Draft, issue, and maintain client contracts, supplier SLAs, and scope-of-work documents, ensuring all terms protect the company and support smooth project delivery.
- Prepare eTIMS-compliant tax invoices, credit notes, and receipts, while keeping financial records audit-ready and aligned with Kenyan tax requirements.
- Coordinate with Business Development and Operations to confirm payment terms and deposits are in place before projects are handed over, flagging any gaps that could delay timelines.
- Track revenue, payment status, and project margins, then compile regular reports for the Head of Division to support informed decision-making.
- Maintain organized, accurate documentation for every commercial transaction, enabling quick retrieval and full traceability across all projects.
- Support the team with occasional outdoor site visits, checking that commercial details align with on-the-ground requirements.
Requirements & Qualifications
- Degree or diploma in Finance, Business Administration, Accounting, or a related field, with at least 3 years of experience in commercial administration, project finance, or billing.
- Hands-on experience with KRA eTIMS invoicing and a solid understanding of Kenyan commercial contract fundamentals.
- Strong analytical skills and advanced proficiency in Excel or Google Sheets, along with working knowledge of invoicing software and CRM platforms.
- Demonstrated integrity, professionalism, and consistency when applying company processes and policies.
- Excellent organizational skills with meticulous attention to detail, even when managing multiple priorities simultaneously.
- A collaborative attitude with genuine comfort working outdoors and supporting field teams during site visits.
