Role Overview
This position is responsible for the day-to-day custody and control of goods held inside a customs bonded warehouse, making sure every item is accounted for from arrival to authorised release. You will act as the bridge between the warehouse operation and Kenya Revenue Authority requirements, ensuring that all movement, storage, and documentation meets strict customs compliance standards. Your vigilance protects the integrity of the bond and helps avoid costly delays, penalties, or compliance breaches for the company and its clients.
Key Responsibilities
- Check incoming bonded cargo against customs entry documents, delivery orders, and internal warehouse records to confirm quantities, descriptions, and physical condition before accepting goods into the bond.
- Maintain a clear and current record of every consignment under bond, including its exact location, status, entry number, and movement history within the facility.
- Validate all release documentation, including customs entries and authorised release orders, and confirm the correct cargo is physically identified and available before allowing it to leave the warehouse.
- Liaise with customs officers, clearing agents, transporters, and clients to coordinate smooth receipt, inspection, and release processes, while keeping all parties informed of any issues.
- Carry out regular cycle counts and full stock reconciliations, immediately investigating and reporting any variances, damages, shortages, or unauthorised movements.
- Support customs inspections, verification exercises, and KRA audits by preparing the relevant goods and paperwork and being present during the examination process.
- Monitor key dates, especially customs bond expiry periods, and proactively escalate any cargo that requires urgent clearance, extension, or other corrective action.
- Keep the warehouse tidy, secure, and correctly labelled at all times, ensuring that bonded goods are stored separately from non-bonded stock and protected against tampering or substitution.
Requirements & Qualifications
- Diploma in Clearing and Forwarding, Customs Administration, or equivalent formal training from KESRA or a recognised institution.
- An iCMS certificate is required, demonstrating hands-on familiarity with the Kenya Revenue Authority's Integrated Customs Management System.
- Relevant customs or clearing certifications are a distinct advantage.
- 2 to 3 years of practical experience working in a customs bonded warehouse, clearing and forwarding environment, or a directly related customs-controlled operation.
- Solid working knowledge of Kenyan customs procedures, bonded warehouse regulations, and the customs clearance process.
- Strong numerical skills and the ability to reconcile stock records accurately and promptly.
- High attention to detail, with a disciplined approach to documentation, filing, and record keeping.
- Proven integrity and accountability when handling valuable goods and confidential customs or client information.
- Effective communication and coordination skills to deal with multiple stakeholders under time pressure.
- Computer proficiency, including experience with inventory systems, spreadsheets, and customs-related software.
