Role Overview
This position is the organisational backbone of our insurance office, making sure that day-to-day administrative work runs without disruption. You will handle incoming inquiries, keep key documents and records in order, and coordinate schedules so that managers and teams can focus on serving clients effectively. The role is hands-on, varied, and essential for maintaining clear communication across every department.
Key Responsibilities
- Manage incoming and outgoing correspondence, ensuring emails, letters, and internal memos reach the right person promptly.
- Maintain both digital and physical filing systems, keeping records organised, accurate, and easy to retrieve.
- Coordinate appointments, team meetings, and room bookings, preparing any materials or agendas as needed.
- Support data entry tasks, update client and policy records, and spot-check entries to minimise errors.
- Act as the first point of contact for phone calls, emails, and walk-in queries, routing issues to the appropriate team.
- Assist different departments with routine administrative requests, from preparing spreadsheets to drafting standard letters.
- Monitor office supplies and place orders when stock runs low, keeping shared workspaces functional.
- Help with follow-up tasks such as sending reminders, confirming deadlines, and tracking action items across teams.
Requirements & Qualifications
- Previous experience in an administrative, clerical, or general office support role is essential.
- Solid working knowledge of Microsoft Office, particularly Word, Excel, and Outlook.
- Strong organisational skills with the ability to manage multiple tasks simultaneously without missing deadlines.
- Clear written and verbal communication skills, with the confidence to interact professionally with colleagues and clients.
- A meticulous approach to record-keeping and data entry, especially when handling financial or policy-related documents.
- Comfortable working independently on routine tasks and capable of using judgment to escalate issues when necessary.
- High school diploma or equivalent; additional administrative training or a certificate is a plus.
