Role Overview
This position anchors the daily human resources and office operations for a Dubai-based contracting firm, ensuring that everything from employee documentation to site-level workforce coordination runs without friction. You will be the person the team relies on to keep records accurate, visas and contracts on track, and administrative tasks moving, so project managers and site supervisors can focus on delivery. Your work directly supports a compliant, organised workplace where every employee file and government form is handled correctly and on time.
Key Responsibilities
- Own the full employee lifecycle administration, including new hire paperwork, contracts, onboarding sessions, and induction briefings for both office and site staff.
- Coordinate all government-related documentation including visa processing, work permits, Emirates ID applications, medical checkups, and insurance enrollment.
- Track and manage attendance, leave balances, overtime records, and other time-related data across multiple projects and crews.
- Support recruitment by posting openings, screening CVs, scheduling interviews, and preparing offer or rejection communications.
- Monitor critical deadlines such as contract renewals, visa expiries, and labour card renewals, and proactively escalate any risks.
- Prepare official HR letters, certificates, memos, and reports, while maintaining confidential filing systems for personnel and company records.
- Liaise with PROs, recruitment agencies, government offices, and project teams on manpower requirements, employee movements, and site documentation.
- Handle day-to-day office administration, including office supplies, correspondence, and coordination with accommodation and transport providers for workforce needs.
Requirements & Qualifications
- Bachelor’s degree or diploma in Human Resources, Business Administration, or a related discipline.
- 2–4 years of proven HR and administrative experience, ideally within construction, contracting, engineering, or facilities management companies in the UAE.
- Solid working knowledge of UAE labour law, visa procedures, work permit requirements, and employee onboarding workflows.
- Hands-on experience with site-based and blue-collar workforce documentation, including accommodation and transport arrangements, is a strong advantage.
- Proficient in MS Office, particularly Excel and Word, with the ability to maintain accurate spreadsheets and records.
- Strong organisational skills, attention to detail, and the ability to handle sensitive information with complete discretion.
- Excellent written and verbal communication in English; additional languages are a plus.
- Valid UAE Light Vehicle Driving License is preferred, and candidates who can join immediately will be prioritised.
