Job Description

Role Overview

The Accounts Assistant plays a hands-on role in keeping the finance function running smoothly by recording daily transactions, maintaining ledgers, and reconciling accounts. This position is essential for producing accurate financial information and upholding strong internal controls. Based on-site along Kiambu Road, the successful candidate will handle both routine bookkeeping and time-sensitive reporting tasks.

Key Responsibilities

  • Enter daily financial transactions, sales invoices, and supplier bills into QuickBooks, keeping the general ledger and sub-ledgers accurate and current.
  • Generate payment vouchers, process petty cash disbursements, issue official receipts, and assemble related financial documentation.
  • Conduct regular reconciliations for bank accounts, petty cash, customer accounts, and vendor ledgers, investigating and resolving any mismatches.
  • Manage accounts receivable by following up on overdue customer balances and resolving payment discrepancies.
  • Handle accounts payable tasks, including verifying supplier invoice accuracy and assisting with creditor payment runs.
  • Assist in compiling monthly management accounts, cash flow statements, and budget monitoring schedules using Microsoft Excel.
  • Gather schedules, physical vouchers, and supporting documents for internal and external audits, and escalate financial discrepancies or unauthorized expenses to senior management.
  • Enforce financial policies, approval thresholds, and internal control frameworks, support statutory tax and accounting compliance, and maintain confidential paper and electronic records for quick retrieval.

Requirements & Qualifications

  • Education: Bachelor’s degree in Accounting, Finance, Commerce, or a related business field.
  • Professional certification: CPA-K (Certified Public Accountant – Kenya) is required.
  • Experience: At least 2 years of progressive, hands-on experience as an Accounts Assistant or Assistant Accountant in a busy finance environment.
  • Software skills: Mandatory, verifiable experience with QuickBooks and proficiency in Microsoft Office, especially Excel and Word.
  • Technical knowledge: Solid understanding of double-entry bookkeeping, reconciliation procedures, and internal control frameworks.
  • Personal attributes: High attention to detail, strong numerical aptitude, systematic record-keeping, exceptional integrity, discretion, and the ability to handle confidential financial data responsibly.
