Role Overview
We are looking for a detail-oriented Accounts Admin to join our client’s finance team and keep the daily financial operations running smoothly. This role supports the business by managing bookkeeping duties, preparing statutory filing submissions, issuing accurate invoices and quotations, and maintaining clean records that inform better business decisions. Your work ensures that the organization stays compliant with tax and payroll regulations while supporting sales and administrative teams with reliable financial data.
Key Responsibilities
- Maintain accurate and up-to-date financial records, including ledgers, receipts, and payment transactions.
- Prepare and file statutory returns for VAT, PAYE, NHIF, NSSF, and SHA within required deadlines.
- Process invoices and sales quotations promptly, ensuring correct pricing, billing details, and client information.
- Track and reconcile business expenses, bank statements, and petty cash to support month-end reporting.
- Generate financial and administrative reports for management, highlighting any discrepancies or concerns.
- Use CRM and sales tools to log client transactions, update account records, and support the sales team with accurate billing data.
- Liaise with internal departments to resolve invoice or payment queries and maintain professional client communication.
- Assist with general office administration tasks related to finance, document organization, and vendor follow-ups.
Requirements & Qualifications
- Completed CPA Part 1 and Part 2 qualifications, or an equivalent level of accounting knowledge.
- Proven experience preparing and filing VAT, PAYE, NHIF, NSSF, and SHA statutory returns.
- Strong proficiency in Microsoft Office, especially Excel, for data entry, reconciliation, and reporting.
- Working knowledge of CRM and sales tools for managing client accounts and billing workflows.
- Hands-on experience in bookkeeping, financial reporting, invoicing, expense tracking, and preparing quotations.
- Excellent interpersonal and communication skills to interact with clients, vendors, and colleagues professionally.
- Humble, ethical, and detail-oriented work style with the ability to handle confidential financial information responsibly.
