Accountant/Finance Officer

Role Overview

You will be the financial backbone of a labour outsourcing business, entrusted with paying daily-rated warehouse workers correctly and on time while keeping the company fully compliant with Kenya’s statutory payroll requirements. Your work directly affects the livelihoods of hundreds of employees across Mombasa, Nairobi, and Eldoret, and it protects the company from penalties, disputes, and audit failures. On a typical day, you will move between payroll calculations, tax filings, reconciliation, and invoice preparation—ensuring every shilling is accounted for and every deadline is met.

Key Responsibilities

• Run the full monthly payroll cycle for daily-rate warehouse staff across three sites, calculating base pay, overtime, and all statutory deductions without error.
• Apply the correct rates for PAYE, NSSF Tier I and II, SHIF, the Affordable Housing Levy, and NITA levy, staying current with KRA guidance and any mid-year changes.
• Prepare and submit itemised client invoices by the 5th of each month, breaking down shift dates, roles, headcount, hours, daily rates, overtime, statutory deductions, management fees, and VAT.
• File statutory returns through iTax, NSSF, and SHIF portals, and remit contributions before every compliance deadline.
• Keep clean, audit-ready payroll registers, payslips, general ledger entries, and attendance records that satisfy client audit rights and statutory retention rules.
• Reconcile site attendance tallies against payroll registers and invoiced hours before any invoice goes out, catching discrepancies early so clients are never over- or under-billed.
• Ensure every worker receives full and timely wages no later than the 5th of the following month, with individual payslips issued for each pay period.
• Monitor bank accounts, petty cash, and supplier payments tied to the labour contract, and support HR with pay-related grievance queries while upholding the Kenya Data Protection Act 2019.

Requirements & Qualifications

• CPA Part II or a recognised equivalent accounting qualification is mandatory.
• At least 3 years of hands-on experience in payroll and finance administration, ideally within labour outsourcing, logistics, or manufacturing.
• Demonstrated knowledge of Kenyan statutory payroll requirements including NSSF, SHIF, Housing Levy, NITA, PAYE, and WIBA.
• Advanced spreadsheet skills and practical familiarity with payroll or accounting software.
• High attention to detail, personal integrity, and the ability to handle sensitive worker data in strict compliance with data protection law.
