The Role

As Wellness Operations Coordinator, you will be the operational backbone of Novus Wellness — the key link between our clients, therapists, drivers and vendors. You will report directly to the Operations Manager and the Founder, playing a central role in ensuring every booking runs seamlessly and every client interaction reflects our premium standards.

We prefer applicants currently living in (or willing to move to) Barsha Heights (TECOM), Al Barsha or surrounding areas as the shift may finish late.

Our company is in growth phase, so we need flexible individuals.

What You Will Do

  • Manage and respond to client inquiries via phone and WhatsApp with professionalism and warmth.
  • Organise and maintain daily schedules for therapists and drivers, ensuring efficient coordination.
  • Liaise with vendors and service partners as required.
  • Handle booking confirmations, follow-ups and client communications end-to-end.
  • Support the Operations Manager and Founder with day-to-day operational tasks.
  • Maintain clear records and ensure all administrative processes are followed accurately.
  • Act as a reliable point of contact for the team, clients and external parties.
  • Uphold the Novus Wellness brand standards in every interaction — written and verbal.

We are looking for a composed, organised and communicative professional who demonstrates:

  • Impeccable organisational skills — you stay on top of everything, nothing falls through the cracks.
  • Excellent phone-based customer service skills — confident, warm and professional on every call.
  • Excellent spoken and written English — clear, articulate and polished in all communications.
  • A true team player — you support your colleagues and thrive in a collaborative environment.
  • Comfort with managing people — able to liaise professionally with therapists, drivers and vendors.
  • Strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Previous experience in an administrative, coordination or customer-facing management role preferred.
  • A background in the Spa, Beauty, Wellness or Fitness industry is a MUST — candidates without this experience will not be considered.

Working Hours

Training Period:

  • 10:00 AM – 10:00 PM (full operational coverage during onboarding)

Post-Training (once fully operational):

  • Shift A: 9:00 AM – 7:00 PM
  • Shift B: 1:00 PM – 11:00 PM

1 day off per week.

Reporting Structure

This role reports directly to the Operations Manager and the Founder of Novus Wellness.
