Position Title: Executive PA

Direct Line Reporting: The Managing Partner

Industry Sector: Legal

Gross Salary Structure: Kshs. 120,000 + Additional Benefits

Location: Nairobi

Strategic Objective

We are seeking a highly proactive, organized Executive PA to provide elite administrative and strategic support to our Managing Partner. Your primary focus will be to maximize the operational efficiency of the Managing Partner by managing competing priorities, protecting scheduling bandwidth, and ensuring disciplined follow-through on firm-wide initiatives. This position bridges meticulous administrative governance with high-touch relationship management; you will guide operational workflows from daily briefings and boardroom agenda packaging through to post-meeting accountability tracking. The role demands a confident, professionally mature diplomat who thrives in a fast-paced professional services environment and can handle sensitive corporate matters with absolute discretion.

Scope of Responsibilities

Executive Administration & Schedule Governance

  • Formulate, filter, and optimize the Managing Partner's daily calendar, corporate schedule, and commitments.

  • Provide continuous, anticipatory reminders and strategic timeline checks to keep corporate priorities on track.

  • Draft high-level correspondence, boardroom briefs, executive emails, and sensitive internal announcements.

  • Vet, prioritize, and manage inbound communication pipelines, telephone inquiries, and meeting requests.

  • Accompany the Managing Partner to critical strategic briefings to document action items and log executive priorities.

Strategic Projects & Cross-Functional Follow-Ups

  • Monitor and audit the progress of special projects and operational tasks delegated by the Managing Partner to various teams.

  • Research, compile, and format detailed executive reports, slide presentations, and briefing portfolios for external engagements.

  • Facilitate smooth communication channels between the Managing Partner's office, internal legal partners, and general staff.

  • Supervise the execution of firm-wide strategic initiatives, ensuring cross-departmental tasks are completed on time.

Stakeholder Management & Corporate Relations

  • Act as the primary, polished liaison between the Managing Partner, premium corporate clients, and external institutional stakeholders.

  • Oversee client engagement workflows, ensuring pre-meeting briefs and post-meeting follow-up correspondences are executed perfectly.

  • Enforce rigorous accountability tracking, ensuring external commitments and partner deliverable agreements are fully realized.

Meeting Administration & Operational Support

  • Organize and anchor leadership, partner, and executive board meetings, detailing clear structural agendas.

  • Assemble and distribute comprehensive meeting packs, legal briefs, and operational summaries prior to sessions.

  • Record clear minutes, isolate central deliverable points, and monitor downstream execution timelines.

  • Coordinate complex travel logistics, flight itineraries, accommodation bookings, and auxiliary field requirements.

  • Anchor sensitive, high-trust assignments and special ad-hoc administrative projects under minimal oversight.

Qualifications & Prerequisites

Minimum Requirements

  • Education: Bachelor’s degree in Business Administration, Law, or a complementary corporate discipline.

  • Experience: Minimum of 5–8 years of progressive experience offering close support to senior partners, C-suite executives, or corporate leaders.

  • Industry Background: Prior experience operating within a law firm or a fast-paced professional services ecosystem is highly preferred.

  • Discretion Capital: Proven history handling complex, highly confidential corporate information and institutional operations.
