Job Description
The successful candidate will play a dual role by providing strategic project management and executive support to the General Manager. The position focuses on driving operational efficiency by tracking key initiatives, managing meeting outcomes, and ensuring projects are executed in line with strategic priorities. At the same time, the role provides high-level administrative and organisational support to the GM, ensuring effective coordination, clear communication, and the timely flow of information to support informed decision-making and smooth day-to-day operations.
Key Responsibilities
- Manage project tracking and execution using Trello, ensuring meeting outcomes, deadlines, and accountabilities are documented and followed through.
- Monitor and coordinate monthly reporting across departments to ensure timely submission to the General Manager.
- Track project implementation and progress, following up with responsible managers to reduce delays and ensure timely completion.
- Support execution of the company’s strategic plan by coordinating day-to-day priorities and ensuring alignment across departments.
- Provide executive support to the General Manager, including calendar management, meeting coordination, document preparation, and email management.
- Prepare meeting agendas, briefing notes, and operational summaries, and record minutes to support informed decision-making.
- Act as a communication bridge between the GM and department heads, ensuring priorities, follow-ups, and deadlines are clearly communicated and met.
- Collaborate cross-functionally with finance, production, QC, and supply chain teams, supporting data accuracy, project implementation, and special strategic initiatives.
Key Qualifications
- Bachelor’s degree in a related field
- Over 10 years’ experience in administration, project management.
- Strong skills in planning and cost management.
- Experienced in executive support and administration, including scheduling, reporting, and coordination.
- Experience in coordinating a team of about 20 people.
- Proven track record of improving workflow efficiency.
- Proficient in Microsoft Office, Trello or another mgmt. tool.
- Excellent communicator and multitasker, able to balance people leadership and executive support.
