Job Overview
Our client is a laboratory supplies company based in Ngara looking to bring on board two experienced Technical Procurement & Supply Officers to manage their local and international supply chains. This is a technically demanding role that sits at the intersection of engineering knowledge and procurement expertise. The person stepping into this position needs to be just as comfortable reading engineering specifications and conducting quality audits as they are negotiating pricing with international suppliers and coordinating customs clearance at JKIA or the Port of Mombasa. Key Responsibilities
Supplier Sourcing & Management
- Identify, evaluate, and onboard reliable local and international suppliers for technical components, laboratory instruments, and scientific materials
- Build and maintain strong, long-term supplier relationships that deliver consistent reliability, quality, and cost efficiency across the supply chain
- Continuously assess supplier performance and make recommendations to optimize the supplier base
Procurement & Negotiation
- Lead negotiations on pricing, payment terms, lead times, and shipping arrangements with both local and international suppliers
- Ensure all procurement activities are conducted in strict alignment with company policies, approval frameworks, and applicable regulatory requirements
- Manage the full procurement cycle from requisition and purchase order through to delivery and invoice reconciliation
Regulatory Compliance
- Ensure all imported and locally purchased materials meet Kenya Bureau of Standards requirements and any other applicable technical or regulatory standards
- Stay current on changes to import regulations, customs procedures, and compliance requirements that affect the company's supply chain
- Maintain complete and accurate documentation for all procurement and importation activities to support audits and compliance reviews
Logistics & Inventory Management
- Maintain optimal inventory levels across all technical and laboratory supplies to prevent shortages, project delays, or excess stock situations
- Coordinate clearing and forwarding of imported goods at Jomo Kenyatta International Airport and the Port of Mombasa to ensure timely and cost-effective delivery
- Work closely with logistics partners and clearing agents to resolve delays, discrepancies, or customs issues efficiently
Quality Assurance
- Read and interpret engineering specifications and technical datasheets to conduct thorough quality audits on all incoming materials and equipment
- Identify, document, and resolve discrepancies, defects, or non-conformances in delivered goods before they impact project or operational integrity
- Ensure all materials and components procured meet the exact technical standards specified by internal teams and end clients
Continuous Improvement
- Proactively identify and recommend process improvements across sourcing, procurement, logistics, and supply chain operations
- Contribute to cost-saving initiatives without compromising on technical quality or delivery timelines
- Share market intelligence and supplier insights with management to strengthen the company's overall procurement strategy
Requirements & Qualifications
- Degree in Mechanical Engineering, Electrical Engineering, or a closely related technical field
- Minimum 2 to 5 years of hands-on experience in procurement, supply chain management, or technical sourcing within industrial, scientific, laboratory, or engineering environments
- Strong practical understanding of engineering specifications with the ability to evaluate and assess technical materials and components independently
- Solid familiarity with Kenyan import and export logistics, customs clearance procedures, and KEBS compliance standards
- Proven negotiation skills with experience managing supplier contracts and commercial terms across local and international markets
- Strong analytical and problem-solving capabilities with a sharp eye for quality discrepancies and supply chain risks
- Proficient in inventory management systems and procurement software
- Able to manage multiple procurement activities simultaneously under tight deadlines without compromising accuracy or compliance
