Job Description

OVERALL RESPONSIBILITY

Reporting to the Manager Material Management Division, the successful candidate will be responsible for maintaining optimal inventory levels and ensuring efficient stock management, in conformity with hospital policy and best practices, to meet the Institution’s goals and objectives.

 

KEY RESPONSIBILITIES

 

Regularly track and analyze inventory levels to identify trends, potential shortages, and areas for improvement.

 

Managing Re-order levels: Determine when and how much stock to reorder, ensuring timely replenishment to avoid stock outs.

 

Conduct regular random stock takes and cycle counts to ensure accuracy and identify discrepancies.

 

Regularly Check and track expiries.

 

Report on variance to warehouse coordinator.

 

Daily tracking and reporting of slow moving and near expiry items

 

Maintain and utilize inventory management systems in place to track stock movements and levels.

 

Ensure accurate, timely and complete posting and updating of transactions in the system.

 

Ensure accurate and timely issue of inventory items to users, departments /or sub-stores.

 

Oversee the receipt and storage of incoming goods into the stores, ensuring proper handling and storage conditions.

 

Stack Items safely and neatly in an identifiable and traceable manner.

 

Adhere to the FIFO method of stock movement.

 

Manage and ensure a minimum value of expiries and items being obsolete.

 

Ensure daily tracking and escalation of slow-moving inventory, short expiry and approved disposal forms.

 

Prepare stock reports to identify trends, track performance, and inform decision-making.

 

Prepare listings for timely purchase and replenishment of inventory items in collaboration with respective and corresponding purchasers.

 

Ensure there are no stock outs by prompting the purchaser on items running low on stocks.

 

Recommend optimum quantities of items to be replenished.

 

REQUIREMENTS.

 

Bachelors/ Diploma in Purchasing and Supply Management or its equivalent

 

Minimum of 2 years post college experience in relevant field.

 

Proficiency in working with MS Excel and MS word

 

Strong communication and numeracy skills.
