Role Overview
This role keeps bonded and general warehouse inventory aligned across the physical floor, the inventory system and the supporting customs documentation. Day to day, the officer coordinates cargo receipts, storage and releases, administers warehouse bonds, tracks utilization and ageing, and serves as the main link between customs officials, clients and internal teams. The standard is exacting: stock on hand, system records and paperwork must match, while bond capacity, upcoming releases and future bond needs remain visible at all times.
Key Responsibilities
- Record and track every receipt, put-away, transfer and release across bonded and general warehouse locations, ensuring each movement has complete backing documents and a clear location history.
- Run routine stock checks and cycle counts, compare counted quantities with system balances, and resolve or escalate variances without delay.
- Submit and follow through on warehouse bond applications, extensions and enhancements, and monitor bond utilization, available balance and expected releases.
- Build forward-looking bond consumption projections from current stock and anticipated cargo, and flag bonded goods approaching statutory age limits.
- Maintain customs compliance records and audit files, and liaise with customs bond officials on bond, inventory and compliance matters.
- Engage bonded and general warehouse clients on receipts, releases, stock positions and compliance requirements.
- Prepare daily stock movement and bond utilization reports, monthly opening/closing stock summaries, count-to-record reconciliations, and bond capacity forecasts.
- Coordinate with operations, customer service, commercial and finance teams to support efficient warehouse service delivery.
Requirements & Qualifications
- Degree in logistics, supply chain, warehousing, customs administration or a related discipline.
- Diploma in customs administration and the East Africa Customs Freight Forwarding Practising Certificate (EACFFPC), including a proficiency certificate on ICMS from KESRA.
- Trained, certified or authorized for KRA iCMS external-user operations.
- Demonstrated competence in customs bonded warehouse and security bond management, covering CB6 bond utilization, replenishment, enhancement, extension and retirement.
- Previous exposure to warehouse, CFS/ICD, logistics or customs-controlled operations is preferred.
- Working knowledge of inventory systems and bonded warehouse procedures.
- Comfortable using Excel for reconciliations and management reporting.
- Meticulous, ethical and willing to own outcomes.
- Confident dealing with clients, internal partners and customs regulators.
