Stores Clerk – Raw Materials

Role Overview

This position centres on safeguarding the flow of raw materials through a busy warehouse in Kirigiti, Kiambu, by combining hands-on stock handling with disciplined record-keeping. Each day involves checking deliveries against purchase paperwork, organising materials in clearly labelled storage zones, and releasing stock only through authorised requisitions. Your accuracy directly protects the operation from production delays, stock shrinkage, and costly discrepancies between physical inventory and system records.

Key Responsibilities

• Inspect all incoming raw material consignments, confirming item counts, weights, and specifications against delivery notes, supplier invoices, and purchase orders before accepting them into the store.
• Perform visual and physical quality checks on delivered goods; immediately raise non-conformance reports for damaged, defective, or incorrectly specified materials.
• Assign batch labels and bin codes to accepted stock, then direct offloading crews to the correct storage positions to maintain a tidy, space-efficient layout.
• Apply either FIFO or FEFO rotation rules when storing and issuing materials so older stock leaves the warehouse first and deterioration or wastage is minimised.
• Issue raw materials exclusively against fully approved requisition notes from production or operational teams, and record every dispatch, transfer, or return in the inventory system.
• Monitor stock balances against minimum reorder levels, flagging potential shortages or overstocking so purchasing teams can act before line stoppages occur.
• Participate in weekly cycle counts and monthly full stocktakes, investigating any mismatch between physical quantities and system figures and documenting the reasons.
• Maintain clean and complete records of goods received notes, issue vouchers, delivery documentation, and transfer cards, while also producing weekly Excel-based stock summaries for the warehouse supervisor.

Requirements & Qualifications

• Diploma or certificate in Supply Chain Management, Procurement, Stores Management, Logistics, or a closely related discipline.
• At least two years of hands-on experience in stores, warehouse, or raw materials inventory management, with proven ability to handle receiving, issuing, and reconciliation duties.
• Familiarity with industrial raw materials, manufacturing inputs, or heavy logistics stock is a distinct advantage for this role.
• Strong command of Microsoft Excel for maintaining stock sheets, variance reports, and movement summaries, plus basic working knowledge of an ERP or inventory management system.
• High numerical accuracy when counting bulk units, cross-checking delivery documents, and balancing stock records; a documented history of catching discrepancies is preferred.
• Physically capable of lifting store items, arranging pallets, and working on foot for long periods while keeping the warehouse orderly and safe.
• Demonstrated honesty and accountability in safeguarding stock, following safety procedures, and protecting raw material inventory from loss or misuse.
• Availability to work on-site in Kirigiti, Kiambu, on a full-time basis.
