Role Overview
The Stores Clerk manages the movement and storage of supplies used in a milk-processing operation, from checking deliveries through to issuing items for production. Accurate records, careful stock rotation, and safe storage help keep production supplied while reducing losses and protecting food safety.
Key Responsibilities
- Check incoming packaging, processing consumables, and chemicals against purchase orders and delivery documents; record accepted goods and report shortages, damage, or specification concerns.
- Enter receipts and stock movements into inventory systems and maintain corresponding paper records, including goods received notes and stock cards.
- Track stock balances and reorder levels, carry out regular counts, support stocktakes, and investigate differences between records and physical quantities.
- Apply FIFO and FEFO rotation practices, paying attention to batch details and expiry dates.
- Issue materials only against approved requisitions, keeping clear records of issues, transfers, and returns.
- Review usage across production areas and flag unusual consumption, potential wastage, or emerging stock shortages.
- Separate and document returned, damaged, or obsolete items, and maintain orderly, secure storage areas.
- Follow food-safety, chemical-separation, workplace-safety, and fire-prevention requirements; prepare routine stock movement and variance reports.
Requirements & Qualifications
- KCSE certificate required. A certificate or diploma in stores management, supply chain, procurement, or inventory management is an advantage.
- One to two years of practical experience in stores, inventory, or warehouse operations.
- Experience in dairy or food manufacturing is preferred.
- Working knowledge of Microsoft Excel, inventory software, and stock-counting methods.
