Job Description

Role Overview

You will be the guardian of every item that keeps a safari resort running smoothly—from food and beverages to linens, cleaning supplies, and maintenance tools. Based in Maasai Mara, this role focuses on receiving deliveries, checking them against official documents, organising storage areas, and issuing goods only against authorised requests. Your careful record-keeping and daily stock checks directly help the resort avoid shortages, reduce waste, and maintain a seamless experience for guests, even in a remote environment.

Key Responsibilities

  • Check incoming deliveries against purchase orders, delivery notes, and invoices—confirming quantities, quality, and specifications before accepting or rejecting goods.
  • Organise stock across dry stores, cold rooms, and general areas so items are easy to find, properly labelled, and stored under the right conditions.
  • Issue supplies to kitchen, housekeeping, maintenance, and front-office teams only when presented with a valid requisition form, and keep a clear record of who received what.
  • Apply First In, First Out (FIFO) rotation, especially for perishables, to prevent spoilage and expired products from entering service areas.
  • Carry out regular stock counts and compare physical inventory with system records, flagging and investigating discrepancies, damages, or slow-moving items.
  • Track consumption patterns and alert the procurement team when stock levels fall below minimum thresholds or when usage seems unusually high.
  • Keep the store physically secure and clean—enforcing access restrictions, checking storage temperatures, and maintaining hygiene standards.
  • Maintain accurate transaction records in the inventory system and prepare monthly summaries for management review.

Requirements & Qualifications

  • Diploma or degree in supply chain management, procurement, logistics, stores keeping, or a related field.
  • At least 2 years of hands-on storekeeping or inventory control experience, ideally within a hotel, lodge, or resort environment.
  • Working knowledge of hotel inventory workflows, cold-chain storage principles, food safety practices, and stock audit methods.
  • Comfortable using computer-based inventory management systems and Microsoft Excel or Word for record-keeping and reporting.
  • Strong attention to detail—able to spot quantity mismatches, incorrect deliveries, and early signs of stock issues.
  • High level of integrity and a trustworthy approach when dealing with company assets and sensitive inventory records.
  • Physically capable of handling stock, organising store areas, and moving supplies throughout the day.
