Job Description

Role Overview

You will act as the independent check on all stock movement within a Nairobi-based enterprise, making sure what sits on shelves and in warehouses matches what the ERP system says should be there. Day to day, you’ll carry out physical counts, trace the source of any mismatch, and work with the Finance and Supply Chain Manager to stop leaks, reduce losses, and tighten the controls around how goods move in and out. Your counting and analysis feed directly into management decisions about purchasing, stock levels, and operational risk.

Key Responsibilities

  • Perform scheduled physical stock counts and rotate cycle counts across the warehouse and any retail or distribution points, covering both full inventories and high-risk item samples.
  • Compare physical counts against ERP records, spot discrepancies, and separate genuine shrinkage from data entry errors, unrecorded transfers, or damaged goods.
  • Investigate root causes behind stock-outs, surplus balances, damages, and documentation gaps, then compile evidence and support corrective action until each issue is closed.
  • Apply advanced Excel functions such as lookups, pivot tables, conditional logic, and data validation to clean, sort, and interrogate inventory datasets pulled from the ERP.
  • Build and maintain stock movement reports, variance trackers, and valuation summaries to highlight where losses occur and how inventory is trending.
  • Audit stock transfers, receiving logs, write-offs, and system adjustments to confirm they are properly approved, supported by paperwork, and aligned with internal policies.
  • Review receiving, issuing, and storage procedures to identify control weaknesses and recommend practical fixes that reduce unauthorised movement and mismanagement.
  • Keep a complete and organised audit trail for every reconciliation, physical count result, and ERP correction made, ensuring nothing is left unexplained or unverified.

Requirements & Qualifications

  • Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Accounting, or a closely related field.
  • At least one year of hands-on experience in stock auditing, inventory control, stock analysis, or a similar role involving regular stock-taking and reconciliation.
  • Practical working knowledge of an ERP system for checking balances, running stock reports, and tracing transaction histories.
  • High proficiency in Microsoft Excel, including formulas, data organisation, lookups, pivot tables, and building reconciliation trackers.
  • Strong analytical skills and careful attention to numerical detail, with the ability to detect patterns in stock discrepancies.
  • A methodical approach to audit work—comfortable following procedures, documenting findings clearly, and holding the line on policy compliance.
  • Clear written and verbal communication in English, particularly when explaining variance findings to managers or presenting a case for process changes.
