Job Description

Job Title: Senior Property Caretaker
Industry: Real Estate / Property Management
Employment Type: Two‑year contract (with six‑month probation)
Gross Salary: KES 30,000 per month

Job Purpose

Our client, a leading property management and letting services firm, is seeking a Senior Property Caretaker to manage mixed‑use properties (residential and commercial). The role includes supervising site staff, coordinating maintenance, ensuring high occupancy, supporting rent collection, managing tenant relations, and maintaining compliance with statutory requirements.

Your Role

  • Oversee day‑to‑day operations of assigned properties, ensuring smooth functioning and professional presentation.

  • Act as the main point of contact for tenants and site staff, balancing service delivery with operational efficiency.

Main Duties

  • Supervise site staff, including caretakers, security, contractors, and service providers.

  • Prepare maintenance quotations and supervise repair and improvement works.

  • Support occupancy management, including letting and basic marketing coordination.

  • Conduct regular property inspections and prepare inspection reports.

  • Coordinate routine and emergency maintenance with contractors and caretakers.

  • Ensure proper availability and use of utilities and services.

  • Maintain tenant records, lease schedules, and occupancy reports.

  • Handle tenant inquiries and complaints, resolving minor disputes professionally.

  • Support rent collection and follow‑up on arrears.

  • Assist in lease administration (renewals, terminations, and documentation).

  • Support the enforcement of landlord’s lien and basic legal recovery processes where applicable.

  • Ensure compliance with health, safety, and statutory regulations.

  • Prepare weekly and monthly management reports.

Key Performance Indicators

  • Reduction of rental arrears within the assigned portfolio.

  • Timely resolution of tenant complaints (within 48 hours).

  • Accurate and on‑time submission of weekly and monthly reports.

  • Minimal vacancy rates within assigned properties.

  • Compliance with inspection schedules and maintenance turnaround time.

Your Background

Qualifications

  • Certificate or Diploma in Real Estate, Property Management, Business Administration, or related field.

  • KCSE minimum Grade C (Plain).

  • At least 1–2 years’ experience in property management or real estate.

  • Exposure to mixed‑use property portfolios is an added advantage.

Skills & Competencies

  • Strong communication and negotiation skills.

  • Basic understanding of Kenyan landlord and tenant law.

  • Ability to follow up persistently on rent arrears.

  • Good report writing and record‑keeping skills.

  • Proficiency in MS Office (Word, Excel, Outlook).

  • High level of integrity and professionalism.

  • Ability to work with minimal supervision.

  • Basic financial literacy and budgeting skills.
