Job Description

Role Overview

You will be the operational anchor for the firm’s third-party and supplier data environment, making sure every record is accurate enough to stand up to regulatory scrutiny. Day to day, that means capturing and maintaining supplier, contract, and statement-of-work details, chasing down missing information from internal stakeholders, and keeping a clear audit trail behind every data point. Your work directly supports regulatory submissions and helps the organisation demonstrate that it knows who it works with, on what terms, and under what oversight.

This is not a purely administrative desk role. You will be the reliable link between vendor owners, Procurement, Legal, Risk, and Technology, translating scattered updates and documents into clean, structured, and traceable records. If you take satisfaction from making dense, imperfect information orderly and audit-ready, you will fit in well.

Key Responsibilities

  • Input, update, and maintain supplier, contract, and statement-of-work data in the firm’s core third-party management system, ensuring every field reflects the latest agreed position.
  • Act as the point of contact for business vendor owners and Procurement colleagues, proactively requesting missing documents, clarifying expired terms, and confirming ownership of each supplier relationship.
  • Perform regular data quality checks across supplier records, identifying duplicates, gaps, or inconsistencies, and resolving them before they surface in reporting or regulatory reviews.
  • Compile and organise supplier data extracts for internal governance meetings and regulatory submission cycles, making sure the underlying evidence is complete and easy to verify.
  • Maintain clear documentation of data standards, naming conventions, and updating procedures so that the team’s approach remains consistent and repeatable even as personnel change.
  • Track follow-up actions with business stakeholders and escalate unresolved data issues to Risk or Compliance when records are not completed within agreed timeframes.
  • Support periodic attestation and recertification exercises by preparing the relevant supplier populations and recording the outcomes accurately.
  • Collaborate with Technology teams to troubleshoot system issues that affect data capture, and test enhancements or new fields that support regulatory requirements.

Requirements & Qualifications

  • 2–4 years of hands-on experience in supplier data management, third-party risk administration, procurement operations, or a comparable data-heavy coordination role.
  • Familiarity with the lifecycle of vendor records, including onboarding, contract renewal, due diligence, and offboarding, and the types of documentation associated with each stage.
  • Strong attention to detail and a methodical approach to data entry, validation, and record keeping, with the ability to spot anomalies before they become problems.
  • Comfortable working across multiple stakeholder groups and able to communicate clearly and tactfully when chasing information or pushing back on incomplete submissions.
  • Proficiency with Excel or similar spreadsheet tools for sorting, filtering, and reconciling large data sets; experience with supplier management or procurement systems is an advantage.
  • An understanding of why third-party data matters from a regulatory and risk standpoint, even if gained outside a formal compliance role.
  • Bachelor’s degree in business, finance, supply chain, or a related discipline, or equivalent experience that demonstrates the same analytical and organisational capability.
