Role Overview
This hybrid Receptionist and HR Assistant role is the welcoming face of the organisation, managing the front desk and switchboard while providing critical administrative back-up to the human resources team and executive office. Day to day, you will handle visitor sign-ins, direct incoming calls, coordinate meeting logistics, and process incoming mail, alongside maintaining employee files, preparing routine HR documentation, and supporting onboarding activities. The position matters because it creates a calm, professional first impression for everyone entering the business and ensures that both clerical and HR support functions run without interruption.
Key Responsibilities
- Welcome visitors, clients, and employees at the main entrance, issue visitor badges, and notify hosts of arrivals.
- Operate the telephone system: answer incoming calls, screen callers, route appropriately, and take accurate messages.
- Receive, sort, and distribute all incoming post, courier packages, and confidential documents to the correct recipients.
- Keep the reception area tidy, stocked with necessary supplies, and presentable at all times.
- Book meeting rooms, set up technology and refreshments, and coordinate catering requests for internal and external meetings.
- Provide clerical support to the HR team: file personnel records, update attendance logs, prepare offer letters, and manage new-hire paperwork.
- Assist the Executive Office with drafting correspondence, formatting presentations, transcribing meeting minutes, and maintaining filing systems.
- Serve as a liaison between staff, external suppliers, and vendors for day-to-day service requests.
- Ensure compliance with workplace health, safety, and security protocols, reporting any incidents or hazards.
Requirements & Qualifications
- Diploma in Front Office Management, Human Resource Management, or a related discipline (Bachelor’s degree strongly preferred).
- Minimum 2 years of proven work experience in a combined receptionist and HR assistant capacity, or in separate roles covering front office and HR administration.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for preparing documents, spreadsheets, and presentations.
- Hands-on familiarity with office equipment such as multi-line phone systems, photocopiers, printers, and video conferencing tools.
- Exceptional verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
- Strong organisational skills and the ability to juggle multiple tasks in a fast-paced environment while maintaining strict confidentiality.
- Customer-service mindset, punctuality, and a polished, professional demeanour.
- Proactive attitude with attention to detail; resourceful and able to work with minimal supervision.
