Role Overview
This position sits at the centre of day-to-day operations within a learning institution, keeping academic and administrative activity running smoothly for students, teaching staff, and leadership alike. The person in this role translates plans into schedules, deadlines, and follow-through — coordinating calendars, records, communications, and campus logistics so that teaching time is protected and nothing essential falls through the cracks. Because the institution operates on fixed academic cycles with little room for slippage, the reliability and foresight this role brings directly affect how well the whole school year unfolds.
Key Responsibilities
- Maintain and update student, staff, and institutional records, ensuring files are accurate, complete, and retrievable when needed for reporting or audits.
- Build and manage academic and administrative schedules — term calendars, examination timetables, meetings, and room allocations — and communicate changes promptly to affected parties.
- Serve as a first point of contact for students, parents, and visitors, handling enquiries in person, by phone, and by email, and routing matters to the right department.
- Draft, proofread, and circulate internal notices, correspondence, circulars, and reports on behalf of management or academic heads.
- Coordinate logistics for institutional events such as examinations, orientation sessions, parent meetings, staff briefings, and graduation activities.
- Track supplies, stationery, and equipment for the administrative office, raising requisitions and following up on orders and deliveries.
- Support admissions, enrolment, and record-verification processes, including collecting documentation and checking it against institutional requirements.
- Liaise with teaching and non-teaching staff to monitor outstanding tasks, prepare agenda packs, and take minutes at administrative meetings.
Requirements & Qualifications
- Degree or diploma in Business Administration, or demonstrable equivalent skills gained through relevant work experience.
- At least three years of prior experience working within a learning institution, with familiarity of academic calendars and campus administrative rhythms.
- Organisational ability — able to manage multiple concurrent tasks, prioritise competing demands, and maintain orderly records under pressure.
- Planning and coordination skills — proven capacity to schedule activities, anticipate dependencies, and keep several stakeholders aligned to a timeline.
- Strong written and verbal communication, with confidence drafting formal correspondence and speaking with students, parents, and senior staff.
- Comfort with standard office software and record-keeping systems used in educational settings.
