Role Overview
The Program Assistant will be based in Nairobi and will provide essential program and administrative support to the REACTS-IN team in Kenya. This role ensures that grants, contracts, budgets, and travel logistics are managed efficiently and in line with Nutrition International’s policies, enabling timely program delivery. By keeping documentation, payments, and reporting on track, the assistant helps the team meet its obligations to grantees, consultants, and donors.
Key Responsibilities
- Review project proposals submitted by consultants and grantees, offering initial feedback before contracts are finalized.
- Track program budgets, milestones, and reports, ensuring both grantees and Nutrition International fulfill their commitments.
- Coordinate travel arrangements for technical advisors, program staff, consultants, and workshop participants, including travel authorizations, itineraries, visas, and letters.
- Organize logistics for program meetings and workshops, whether held locally or internationally.
- Draft grant and consultancy agreements, prepare contract approval sheets, and route them for required signatures.
- Maintain the contracts database by updating financial milestones, fund transfers, and timelines to match approved grants and actual progress.
- Liaise with grantees on technical report submissions and follow up on outstanding obligations with Nutrition International personnel.
- Prepare payment documentation for program activities to ensure uninterrupted operations.
Requirements & Qualifications
- Bachelor’s degree in business administration or a related field from a recognized university; an equivalent combination of education and experience may be considered.
- At least 5 years of experience working in an office environment.
- Minimum 3 years of experience in a program management setting.
- Demonstrated experience managing office operations.
- Proficiency with the Microsoft suite (Word, Excel, Outlook, etc.).
- Experience using databases is an asset.
- Strong ability to plan and organize work to meet deadlines.
- Flexibility to adapt to new situations within the organization.
- Capability to work under pressure.
- Excellent interpersonal and communication skills, both orally and in writing.

Salary Range: Annual Basic KES - 1,687,500 - 1,800,000
