Procurement Officer

Role Overview

This position owns the day-to-day buying cycle for a building materials and home improvement business, sourcing hardware, construction supplies and internal operational items at the best achievable price and making sure they arrive when they are needed. Based at the Mombasa Road site, the Procurement Officer sits between external suppliers and the internal warehouse, inventory, sales and accounts teams, so the flow of stock stays ahead of customer demand rather than reacting to shortages. Accurate record-keeping in Odoo is central to the job — the purchasing data you maintain is what the rest of the business relies on to plan, cost and account for materials.

Key Responsibilities

• Source and screen suppliers of building materials, hardware lines and operational tools, comparing quotations on price, quality and reliability before recommending award.
• Negotiate pricing, credit terms and delivery timelines with vendors, and secure volume discounts where order quantities allow.
• Raise and track purchase orders in line with approved budgets and the company's authorisation limits, keeping documentation audit-ready.
• Maintain an up-to-date vendor register, monitor supplier lead times and review delivery performance to flag underperforming suppliers.
• Follow up actively on open purchase orders so that fast-moving stock does not run out and incoming shipments are not delayed.
• Work with store managers, logistics and accounts to align order quantities with actual consumption and customer demand, watching minimum order points for reorder triggers.
• Post procurement transactions, purchase invoices and goods receipts into Odoo, and inspect inbound consignments against purchase orders, delivery notes and agreed specifications.
• Handle supplier disputes directly — short deliveries, damaged goods, incorrect quantities and returns — and prepare monthly spend summaries, open order reports and procurement records for management review.

Requirements & Qualifications

• Diploma or bachelor's degree in Procurement, Purchasing, Supply Chain Management, Logistics or a closely related field.
• At least 3 years of progressive procurement experience, ideally gained in building materials, construction supplies, logistics or wholesale distribution.
• Demonstrated hands-on experience with ERP systems, with specific working knowledge of Odoo ERP required.
• Solid understanding of the full purchasing lifecycle, stock replenishment ratios and commercial vendor management.
• Strong negotiation ability, including the commercial judgement to secure favourable terms, discounts and payment schedules.
• High level of accuracy with numbers, sharp attention to detail and a systematic approach to filing and record-keeping.
• Clear communication skills for managing supplier relationships and coordinating with warehouse, sales and accounts colleagues.

What We Offer / Why Join

• A monthly salary in the range of KSh 35,000 – KSh 40,000.
