Role Overview
This internship sits inside Ikigai's procurement function, where you will help keep goods and services moving on time to cafés, kitchens, offices, and event sites. Day to day, that means handling the behind-the-scenes work that lets each location open and operate — sourcing items, placing orders, checking deliveries, and keeping records accurate. It is a hands-on introduction to how purchasing decisions and supplier relationships shape the daily experience of a hospitality business.
Key Responsibilities
- Raise and process purchase orders for goods and services requested by cafés, kitchens, offices, and events, confirming specifications, quantities, and required delivery dates.
- Follow up with suppliers on order acknowledgements, dispatch schedules, and delivery timelines, flagging any delays before they affect operations.
- Receive incoming deliveries and check them against orders, documenting shortages, damaged items, or substitutions and escalating discrepancies to the procurement lead.
- Maintain procurement files and trackers — supplier contact lists, price schedules, purchase orders, delivery notes, and invoices — so records stay complete and audit-ready.
- Monitor stock levels at assigned locations and alert the team when items are approaching reorder points, helping to prevent shortages or emergency purchases.
- Gather quotations and basic pricing comparisons from suppliers to support purchasing decisions and cost tracking.
- Compile procurement data and prepare Excel-based summaries covering order status, spend, and supplier delivery performance for internal review.
- Coordinate with kitchen, café, operations, and finance colleagues to clarify requirements and confirm that ordered items have been received and recorded correctly.
Requirements & Qualifications
- Bachelor's degree or Diploma in Procurement and Supply Chain Management, Business Administration, Logistics, Operations Management, or a closely related field.
- Previous internship, attachment, volunteer work, or other exposure to procurement, administration, inventory management, hospitality, operations, or supply chain is an added advantage.
- Comfortable working in Microsoft Office, with particular strength in Excel for organising, updating, and analysing procurement data.
- Strong organisational, planning, and time-management habits, paired with close attention to detail when handling orders and records.
- Clear interpersonal and communication skills, with the confidence to build positive working relationships with suppliers and internal teams.
- A solution-oriented outlook — able to notice operational problems early and suggest practical ways to resolve them.
- Professionalism, accountability, and accuracy when dealing with procurement documentation and inventory figures.
