Job Description

Role Overview

As a Procurement Compliance Specialist Support with PATH’s Kenya office, you will serve as a hands-on reviewer and advisor for procurement transactions below the $25,000 threshold, checking each file against organisational policy and donor expectations. Your daily work ensures that procurement documentation is accurate, traceable, and audit-ready, while also guiding colleagues through the correct use of procurement systems and flagging risks before they become larger issues. This role matters because it protects the integrity of PATH’s procurement operations and helps sustain the trust of funders and partners who rely on transparent, compliant spending.

Key Responsibilities

  • Review procurement files and Business World records for purchases under $25,000, verifying that transactions align with PATH’s policies and supporting documentation requirements.
  • Identify compliance gaps, irregularities, and risk signals in procurement workflows, and escalate these promptly to the relevant team members.
  • Prepare documentation and reports for internal and external audits, ensuring all requested records are complete, organised, and easily accessible.
  • Maintain procurement-related trackers, files, and compliance logs, updating them consistently as transactions progress.
  • Provide practical guidance to PATH staff on procurement procedures, system usage, and required documentation, helping to prevent errors at the source.
  • Support capacity-building activities around Business World (BW) and Salesforce (SF) for procurement transactions, including training and troubleshooting assistance.
  • Develop and maintain standardised Excel and Word templates and tools for procurement compliance work.
  • Monitor the team’s shared inbox, distribute subcontracts for review, manage the team calendar, and keep the SharePoint site and team records organised.

Requirements & Qualifications

  • 2–5 years of professional experience in procurement, compliance, audit, or a closely related field.
  • Prior experience working in donor-funded environments or with NGOs is strongly preferred.
  • Strong command of procurement controls, documentation standards, and the importance of segregation of duties.
  • Exceptional attention to detail, with the ability to spot inconsistencies in transaction records and supporting documents.
  • Excellent written and verbal communication skills, especially when explaining compliance requirements to colleagues in a global, multicultural setting.
  • Advanced proficiency with Microsoft Office, particularly Excel (formulas, filters, data validation, and tracking tools), plus working knowledge of Word and SharePoint.
  • Familiarity with enterprise procurement or ERP systems, such as Business World, is desirable.
