Role Overview
You will act as the operational backbone of the procurement function, ensuring that every purchase order is processed accurately and every delivery lands on time. Day to day, you will track stock levels, chase supplier confirmations, resolve discrepancies, and keep internal teams informed — your work directly prevents costly downtime and keeps production or service delivery running without interruption. This is a hands-on coordination role where attention to detail and clear communication are just as important as commercial awareness.
Key Responsibilities
- Raise and manage purchase orders from requisition through to delivery, ensuring all documentation is correct and approved in line with company policy.
- Monitor inventory levels and consumption patterns to identify replenishment needs, avoiding both stockouts and excess holding costs.
- Maintain day-to-day communication with suppliers regarding order status, lead times, pricing, and delivery schedules.
- Resolve supply issues such as late shipments, damaged goods, or invoice mismatches, escalating only when necessary.
- Negotiate with vendors on pricing, payment terms, and delivery windows to secure the best value without compromising quality.
- Keep supplier records up to date, including contact details, pricing agreements, performance notes, and compliance documentation.
- Support periodic supplier reviews by preparing accurate order history, delivery performance, and cost data.
- Collaborate with warehouse, finance, and production teams to align purchasing activity with actual operational demand.
Requirements & Qualifications
- At least 2 years of experience in a procurement, purchasing, or supply chain coordination role.
- Hands-on experience with ERP systems for creating purchase orders, tracking receipts, and running basic inventory reports.
- Strong numerical and analytical skills with the ability to spot pricing errors or quantity mismatches quickly.
- Proven communication skills for dealing with suppliers, internal stakeholders, and cross-functional teams.
- Ability to manage multiple priorities and meet tight deadlines in a fast-moving environment.
- Ethical mindset with a commitment to transparent, fair, and compliant sourcing practices.
- Proficiency in Microsoft Excel or equivalent spreadsheet tools for data sorting and reporting.
- A bachelor’s degree in business, supply chain management, or a related field is preferred but not mandatory when experience is strong.
