Job Description

Job Title: PRO, Government Liaison & Administration Officer

Job Summary

We are seeking a highly organized and self-motivated professional with a minimum of 5–7 years of combined experience in PRO services, government liaison, administration, and IT management within the UAE. The ideal candidate will independently manage all government-related processes, administrative operations, and IT infrastructure while ensuring full compliance with UAE laws and regulations. This role requires a proactive individual who can handle multiple responsibilities, support Emiratization initiatives, and lead a small admin team.

Key Responsibilities

PRO & Government Liaison

  • Manage all PRO and government liaison activities independently, including visa renewals, new visa processing, work permits, labour contracts, and license renewals by efficiently navigating MOHRE and GDRFA smart portals without supervision.
  • Handle labour inspections, labour complaints, and compliance matters by preparing required documentation, coordinating with inspectors, and advising staff on regulatory requirements to ensure full adherence to UAE labour and immigration laws.
  • Support Emiratization initiatives by coordinating meetings, preparing onboarding documentation, maintaining compliance records, and liaising with relevant government stakeholders to meet mandated quotas and reporting requirements.
  • Liaise with legal consultants and government authorities on all regulatory inquiries, official correspondence, and compliance matters, ensuring accurate and timely submission of information.
  • Maintain expert-level operational knowledge of MOHRE and GDRFA systems, ensuring accurate data entry, timely follow-up, and resolution of all government transactions, including status changes, cancellations, fines, and amendments.
  • Process and issue NOCs for consulate services, visas, and government department requirements for staff.

Administrative Tasks

  • Oversee rental contracts including renewals, cancellations, maintenance, document verification, and coordination with real estate agencies.
  • Manage telecom services: update portals, handle ticketing, issue new numbers, and process cancellations.
  • Coordinate utility connections/disconnections, schedule maintenance, monitor bills, and verify payments.
  • Manage day-to-day facility coordination: maintenance, parking, repairs, and security-related issues.
  • Address daily staff needs, complaints, and queries via email, phone, and face-to-face interactions.
  • Monitor document storage logistics including move-ins, move-outs, and disposals.
  • Manage vendor contracts for office maintenance, lease cars, and rent-a-car services.
  • Coordinate office events and staff sports activities, including registration, payments, and team management.
  • Assist and supervise the admin team with job allocation, reporting, and inter-department coordination; prepare regular reports.

IT Responsibilities

  • Manage IT infrastructure including hardware, software, networks, and telecommunications systems.
  • Provide technical support for staff computer systems, troubleshoot issues, and coordinate with external IT service providers.
  • Handle IT procurement, installations, upgrades, and maintenance.
  • Implement and maintain data backup, security protocols, and cybersecurity measures.
  • Train staff on IT systems, software updates, and usage policies.
  • Ensure compliance with IT policies and work to improve overall technological efficiency.

Qualifications & Experience

  • Experience: Minimum 5–7 years of combined experience in PRO, administrative, and IT roles, preferably in Dubai or the UAE.
  • Technical Skills: Hands-on experience with Dubai Now Portal, MOHRE Portal, DNRD, GDRFA, Dubai Police eServices, and DEWA Online Services. Proficient in Microsoft Office applications (Excel, PowerPoint, etc.) and IT system management.
  • Education: Bachelor’s or Master’s degree in any discipline. Valid attested educational certificates are required.
  • Language: Strong verbal and written communication skills in English.
  • License: Valid UAE driving license.
  • Personal Attributes: Positive attitude, self-motivated, creative, and a team player.
  • Availability: Ready to join within one week.
