Role Overview
This position sits within a client relations team and focuses on the operational backbone of retirement benefits administration. Day to day, you will process member transactions, maintain scheme records, and serve as a reliable point of contact for members, trustees, and employers—making sure every query and data point is handled correctly and on time. Your work directly supports the smooth running of pension schemes and helps maintain client confidence in the administrator’s ability to meet regulatory and service standards.
Key Responsibilities
- Take ownership of the daily administration for a portfolio of pension arrangements, including defined contribution, defined benefit, and hybrid structures, ensuring every transaction is completed accurately and within service level agreements.
- Act as a first-line responder for member, trustee, and employer enquiries, interpreting scheme rules and regulatory requirements to provide clear guidance while flagging anything unusual or complex for more senior review.
- Process core benefits work such as member payments, transfer values, benefit calculations, and other scheme events, following documented procedures and checking for consistency before finalisation.
- Prepare and issue annual statements and other member communications, cross-checking underlying data so that records reflect the latest contributions, service history, and personal details.
- Maintain audit-ready scheme files and electronic records, ensuring that documentation around each transaction is complete, logically organised, and retrievable for internal or external review.
- Contribute to scheduled reporting by gathering scheme data and drafting administrative and financial summaries for trustee meetings, annual general meetings, and other governance forums.
- Produce tailored operational reports on portfolio activity, caseload volumes, or service performance as requested by management, helping to identify trends or processing issues.
Requirements & Qualifications
- A bachelor’s degree in business, insurance, actuarial science, statistics, mathematics, or a related discipline.
- At least two years of hands-on experience in pension or retirement benefits administration, ideally gained within a scheme administrator, insurer, or other financial services firm.
- Demonstrable familiarity with the administrative mechanics of defined contribution, defined benefit, and hybrid schemes—including how contributions, benefits, and member events are processed.
- A working understanding of the regulatory obligations set by the Retirement Benefits Authority (RBA) and the tax-related reporting requirements of the Kenya Revenue Authority (KRA) as they apply to pension schemes.
- Progress toward a professional qualification such as AIIK, FSRI, or ACII is desirable but not mandatory.
- Strong numerical reasoning and analytical capability, with a track record of producing accurate calculations and reconciling data under deadline pressure.
- Proven customer service skills, particularly when explaining technical pension matters to members or liaising with trustees and corporate clients who expect a prompt, professional response.
- Excellent written and verbal communication, capable of drafting clear updates and explaining complex issues without jargon.
- Solid organisational ability, comfortable juggling multiple scheme deadlines and shifting priorities in a structured way.
- Advanced proficiency in Microsoft Excel, including the use of formulas, lookups, and data manipulation to support reconciliation and reporting tasks.
