Job Description

Job Title: Operations Assistant

Role Objective

Our client, based in Nairobi, is seeking a highly organized and proactive Operations Assistant to support the day-to-day business operations while providing administrative and executive support to management. The successful candidate will play a key role in ensuring smooth office operations, coordinating administrative activities, and supporting executive functions in a fast-paced environment.

Key Responsibilities

  • Support the day-to-day operations of the business to ensure efficiency.
  • Coordinate meetings, appointments, calendars, and travel arrangements for management.
  • Provide executive support, including diary management, reservations, and other personal assistant duties as required.
  • Prepare reports, correspondence, presentations, and operational documents.
  • Maintain organized filing systems and ensure proper handling of confidential records and documentation.
  • Coordinate communication with clients, suppliers, and internal teams.
  • Monitor office supplies, stationery, and equipment inventory, and coordinate timely procurement and maintenance.
  • Process incoming and outgoing mail, deliveries, and courier services.
  • Track operational tasks and follow up on action items to ensure timely completion.
  • Support management with general administrative duties and perform any other duties assigned from time to time.

Qualifications

  • Diploma in Business Administration, Communication, or a related field.
  • Proficiency in MS Office Suite.
  • At least 2 years of relevant work experience.
