Role Overview
The Operations Accountant owns the day-to-day financial record-keeping for a group of medical centres, making sure that every shilling collected, spent or held in petty cash is captured accurately and supported by evidence. Working alongside Branch Managers and reporting operationally to the Lead Operations Accountant, the role turns raw branch activity — insurance remittances, M-Pesa and card takings, cash claims, stock movements — into reconciliations, variance analysis and reports that leadership can rely on. It matters because the medical centres cannot be run safely or profitably without someone who spots discrepancies early, closes them out, and escalates control weaknesses before they become losses.
Key Responsibilities
- Load insurance revenue into the financial system weekly and cash revenue monthly, so that reported income is complete and traceable to source records.
- Reconcile collections daily — M-Pesa receipts against the EMR, plus debit card and cash takings — investigating and clearing any mismatch as it arises rather than letting it sit.
- Review each branch's daily drafts and voids, flag unusual transaction patterns, and follow up with Branch Managers until every open item is resolved.
- Run the petty cash cycle end to end for assigned centres: validating claims for completeness, posting entries, releasing payments within delegated limits, reconciling the float weekly, and submitting reconciliation packs with supporting schedules for review.
- Ensure cash is banked promptly and deposit slips reach the Treasury Accountant in time for bank reconciliation.
- Complete assigned month-end close work, including balance sheet and revenue account reconciliations, and prepare monthly revenue analysis, variance reports and supporting schedules within agreed deadlines.
- Keep inventory and fixed asset records aligned with physical counts, carry out spot checks under the Lead Operations Accountant's supervision, and confirm that branch expense and inventory journals — COGS, stock losses, expiries and adjustments — are posted correctly.
- Walk through branch profit and loss results with Branch Managers each month, interrogate operational and financial variances, and review external locum invoices for accuracy, eTIMS compliance and adequate documentation before processing.
- Act as the financial link between branches and head office, supplying audit-ready documentation during internal and external reviews and escalating suspected fraud, policy breaches or material control gaps promptly and objectively.
Requirements & Qualifications
- Bachelor's degree in Business Administration, Finance, Accounting or a related discipline.
- CPA Part II or ACCA qualification, with more than three years of accounting experience — ideally gained in a branch or multi-site environment; a hospital or healthcare background is an added advantage.
- Demonstrated hands-on experience with financial reporting, cost management, revenue reconciliation and petty cash administration.
- Comfortable working in accounting software such as QuickBooks, Xero, SAP or a comparable ERP system.
- Solid working knowledge of P&L reporting, financial regulations and internal control frameworks.
- Recognised for integrity, discretion and confidentiality when handling financial data and sensitive transactions.
- Ability to deliver precise, well-documented work efficiently and on schedule, and to exercise independent professional judgment while keeping the Lead Operations Accountant informed of significant issues.
- Strong communicator who can explain financial information clearly to non-finance colleagues and build productive relationships with branch teams.
