About the Role
We are seeking a highly organized and proactive Executive Assistant to provide seamless support to senior leadership. This role requires a quiet driver who can turn verbal ideas into actionable steps, maintain order across multiple projects, and keep both the management and team on track. The ideal candidate will combine operational discipline, professional communication skills, and digital competence with a flexible mindset — including occasional support for personal and family logistics.
Key Responsibilities
1. Operational Structuring & Task Execution
- Transform verbal ideas and directives into clear, actionable steps and follow-ups.
- Maintain checklists and timelines across multiple projects.
- Act as a quiet driver to keep management and stakeholders aligned and on schedule.
2. Professional Writing & Communication
- Draft emails, client notes, internal updates, and summary memos.
- Take meeting notes and distribute follow-ups to the team.
- Communicate with counterparties, vendors, and team members on behalf of management.
3. Digital Competence & Organizational Discipline
- Skilled with Microsoft Office (Word, Excel, PowerPoint), Outlook calendar & email, and cloud-based file management systems (e.g., SharePoint, Dropbox, GooglDrive).
- Maintain organized systems: consistent file naming conventions, folder structures, and version tracking.
- Set up and maintain shared team resources (e.g., calendars, document folders).
4. Basic Financial & Administrative Literacy
- Familiar with investment terms, bank forms, wire instructions, and regulatory documents.
- Able to interface with accounting firms (e.g., HaysMacintyre) and compliance providers (e.g., ACA).
- May support subscription management (e.g., Bloomberg) and vendor invoice tracking.
5. Personal & Family Support (Optional / As Needed)
- Organize family travel or events.
- Help maintain personal and property records.
- Coordinate with home maintenance vendors, staff, or service providers.
- Manage filing systems for personal documents, property ownership, or financial statements.
- Act as a centralized point of organization for both professional and personal affairs (travel, homes, filing, etc.).
Qualifications & Requirements
- Experience: 3+ years as a personal or executive assistant (preferred).
- Demonstrated experience with complex scheduling, travel arrangements, and stakeholder coordination.
- Direct experience supporting C-suite executives, Vice Presidents, Provosts, Deans, Directors, or equivalent senior leaders.
- Available to start immediately.
