Reporting to senior management, the Legal & Leases Officer safeguards the organization’s property contracts and legal standing. The role is responsible for drafting and tracking tenancy agreements, managing landlord-tenant dispute documentation, coordinating with external advocates on court/tribunal proceedings, and maintaining an up-to-date registry of all property leases and rent recovery cases.
Draft, review, and finalize property management contracts, shop/office leases, and residential tenancy agreements.
Maintain a central lease database tracking active agreements, contract execution statuses, rent review dates, and upcoming lease expirations.
Follow up on unexecuted, incomplete, or pending renewal agreements to maintain legal protection across all properties.
Maintain an updated register of active litigation matters, Rent Tribunal cases, hearing dates, and court deadlines.
Compile, organize, and archive supporting evidence, exhibits, and documentation required for ongoing legal proceedings.
Act as the primary administrative link with external advocate firms, monitoring case progress and delivering timely updates to management.
Prepare formal demand notices, default letters, and recovery correspondence for delinquent accounts in accordance with property regulations.
Maintain complete records of tenant grievances, arrears recovery steps, and negotiated payment plans.
Collaborate with internal property managers and external legal counsel to resolve landlord-tenant conflicts efficiently.
Maintain organized physical and digital archives for all legal files, land title copies, and tenancy dossiers.
Generate weekly and monthly management status reports highlighting lease renewals, rent recovery cases, court dates, and pending legal actions.
Coordinate cross-functionally with Finance, Property Operations, and external stakeholders to ensure seamless operational workflows.
Educational Background: Diploma in Law, Paralegal Studies, Legal Secretarial Studies, Real Estate/Property Management, or a closely related field.
Professional Experience: Minimum 2 years of hands-on experience in lease documentation, real estate administration, or paralegal work within a property management company or law firm.
Technical Exposure: Prior experience managing contract registers, handling rent recovery documentation, and interfacing with Rent Tribunal/court processes is highly desirable.
Legal Precision: Exceptional drafting capabilities and meticulous attention to detail in verifying contract terms and statutory deadlines.
Communication & Negotiation: High diplomatic tact and clear written/verbal communication skills for resolving tenant disputes and coordinating with legal counsel.
Organization: Advanced record-keeping, case tracking, and electronic filing skills.
