Role Overview
We are looking for a detail-focused Legal & Leases Officer to join a property management firm operating in Nairobi CBD. In this role, you will report to the Operations Lead and support the company’s external lawyers while managing the full cycle of lease documentation and legal case follow-up. Your work will help the firm keep every tenancy agreement current, every legal deadline visible, and every landlord-tenant issue documented and moving toward resolution.
Key Responsibilities
- Draft and review commercial and residential lease agreements, renewal contracts, and property management agreements for accuracy and legal compliance.
- Maintain a structured lease register that captures execution status, renewal dates, rent review periods, and other significant contract milestones.
- Chase incomplete or unsigned tenancy documents and ensure lease files are fully updated across all managed properties.
- Track legal proceedings involving the firm, including court cases, Rent Restriction Tribunal matters, and landlord-tenant disputes.
- Collect, organise, and compile evidence and supporting records needed for hearings or negotiation with external advocates.
- Draft notices and related correspondence for rent recovery, lease expiry, default, or termination, and monitor their delivery and response dates.
- Keep confidential physical and digital archives for leases, title deeds, and case files, ensuring documents are retrievable and properly secured.
- Prepare weekly and monthly reports on lease renewals, incomplete agreements, recovery efforts, and outstanding legal actions for internal teams.
Requirements & Qualifications
- A diploma in Law, Paralegal Studies, Legal Secretarial Studies, Real Estate or Property Management, or a closely related field.
- At least two years of relevant experience working in property management, real estate, a law firm, or a corporate legal department.
- Hands-on familiarity with drafting tenancy agreements, applying tenancy laws, and supporting landlord-tenant dispute procedures.
- Strong record-keeping skills with the ability to manage multiple lease expiries, tribunal dates, and advocate follow-ups at the same time.
- Excellent attention to detail when reviewing clauses, proofreading legal documents, and auditing lease registers for gaps or errors.
- Clear written and verbal communication skills for professional coordination with tenants, landlords, financiers, and external legal counsel.
- Availability to start promptly and work on-site in Nairobi CBD on a full-time basis.
