Position Title: Front Office Officer (Insurance Sector)

Role Purpose
We are looking for a sophisticated and highly organized Front Office Officer to serve as the face of our organization. In this capacity, you will manage the daily flow of the reception area while providing vital support to the medical insurance claims department. This role demands a professional who can balance high-level client service with the administrative rigor required for insurance documentation and provider follow-ups. You will be instrumental in ensuring a seamless first impression for visitors and maintaining clear lines of communication between clients, hospitals, and internal teams.
Functional Responsibilities
Client Engagement & Reception Management

Serve as the primary point of contact, welcoming visitors with a professional demeanor and maintaining a pristine office environment.

Direct incoming telephone and email inquiries to the appropriate departments with speed and accuracy.

Provide basic information regarding insurance products, services, and general claim procedures to walk-in and remote clients.

Manage the executive calendar, including scheduling high-level meetings and coordinating appointments.
Claims Support & Correspondence Control

Assist clients with medical insurance claim inquiries and proactively follow up on the status of pending claims with insurance providers.

Liaise with hospitals and insurers to verify documentation and expedite processing.

Oversee the full cycle of corporate correspondence, including the recording, dispatching, and tracking of official documents and letters.

Support the internal team with administrative tasks, such as preparing documentation and coordinating cross-departmental activities.
Documentation & Process Integrity

Maintain an organized filing system for client records, ensuring all sensitive data is handled with absolute discretion.

Log all client interactions and front-office activities to support data-driven service improvements.

Perform general office administration duties as needed to ensure operational continuity.
Professional Requirements
Background & Experience

Education: Bachelor’s Degree or Diploma in Business Administration or a related academic field.

Professional Tenure: 1–2 years of experience in front office or customer service roles, ideally within the insurance or healthcare sectors.

Preferred Knowledge: Prior exposure to medical insurance claims processing is highly desirable.

Technical Proficiency: Mastery of MS Office (Word, Excel, and Outlook) is mandatory.
