Role Overview
This Executive Assistant role places you at the centre of leadership operations at Oya Microcredit Limited, working directly with the Chief Executive Officer to keep the executive office running smoothly. Day to day, you will manage a demanding schedule, filter incoming requests, prepare high-level documents, and drive follow-through on decisions made in meetings. Your work matters because it protects the CEO’s time, strengthens communication across the business, and safeguards confidential information in a regulated financial services environment.
Key Responsibilities
- Manage the CEO’s calendar end to end, scheduling appointments, board sessions, stakeholder meetings, and travel in a way that reflects shifting priorities and minimises conflicts.
- Screen telephone calls, emails, and visitor requests, determining which issues require immediate executive attention and handling the rest independently.
- Draft, edit, and format board reports, presentations, official letters, and other corporate documents with accuracy and polish.
- Act as a reliable liaison between the CEO and department heads, partners, clients, and external institutions.
- Coordinate meetings by preparing agendas, arranging venues and audio-visual equipment, attending to capture minutes, and maintaining organised records.
- Monitor action items assigned to senior team members, chase progress, and update the CEO on completion or obstacles.
- Build concise briefing packs and synthesised performance data to support fast, well-informed executive decisions.
- Handle confidential corporate records and client information with absolute discretion, while carrying out special projects and operational tasks delegated by the CEO.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Management, Corporate Governance, or a closely related business discipline from a recognised university.
- At least two years of practical experience in executive assistance, personal assistance, or high-level office administration.
- Proven front office management experience; prior exposure to C-suite executive support is a strong plus.
- Full professional fluency in written and spoken English.
- Advanced capability with Microsoft Office tools, specifically Word, Excel, PowerPoint, and Outlook.
- Strong organisational instincts, critical thinking, and the ability to make sound judgements under pressure.
- Excellent interpersonal and diplomacy skills, including comfort managing senior stakeholders and resolving conflicting demands.
- A mature, discreet, and decisive professional style suited to handling sensitive financial and corporate matters.
