Role Overview
This role sits within a fast-paced UAE-based contracting firm, where you will be the central point for all project documentation flow. Day to day, you will receive, log, distribute, and archive drawings, specifications, submittals, and correspondence — making certain nothing gets lost and every revision is traceable. Your work directly supports project managers and site teams by keeping approvals moving and preventing costly delays caused by misplaced documents.
Key Responsibilities
- Receive, register, and distribute incoming and outgoing project documents (drawings, RFIs, submittals, transmittals, etc.) according to company procedures.
- Maintain both physical filing cabinets and electronic document management systems (EDMS) ensuring all records are current and logically organized.
- Track document revisions and version history, flagging outdated copies and ensuring only the latest approved versions are in circulation.
- Coordinate document approvals among project managers, engineers, consultants, and subcontractors, following up to keep deadlines on track.
- Prepare document transmittals and logs for weekly or monthly reporting to the project team and client representatives.
- Assist in preparing as-built documentation and close-out packages at project completion.
- Perform regular audits of the document control system to identify missing or misfiled records and resolve discrepancies.
- Support the quality assurance process by ensuring all submissions meet contractual and regulatory document requirements.
Requirements & Qualifications
- Minimum 1 year of experience as a Document Controller within a contracting company based in the UAE (mandatory).
- Solid understanding of document control principles — numbering conventions, revision tracking, archiving, and confidentiality protocols.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with project-specific EDMS platforms.
- Strong attention to detail and ability to organize large volumes of paperwork under tight deadlines.
- Effective communication skills in English (verbal and written) to liaise with project stakeholders professionally.
- Prior experience working directly with consultants, subcontractors, and client representatives in a construction environment.
- Education: High school diploma or equivalent; certification in document management is a plus.
