Description:
Lexitas is seeking a detail-oriented and customer-focused Client Services Specialist to provide exceptional support to legal and corporate clients. This remote position is ideal for professionals who are organized, proactive, and skilled at managing client communications, order coordination, and administrative processes.
The successful candidate will serve as a key point of contact between Lexitas and its clients, supporting onboarding, service coordination, data management, and daily client requests. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
• Serve as the primary email contact for new and existing clients, ensuring timely and accurate responses.
• Onboard new clients and users into Lexitas systems and provide guidance on the online client portal.
• Perform data entry tasks, including job orders, attorney and firm profiles, locations, and client preferences.
• Coordinate and schedule deposition services across multiple departments.
• Monitor job queues and backlogs, update case statuses, and manage daily job entries.
• Collaborate with sales and operations teams to support lead generation, resolve client concerns, and ensure successful service delivery.
• Generate and distribute client job reports while confirming billing accuracy.
• Support call queue activities when required and assist with rotating after-hours availability.
• Maintain confidentiality and comply with HIPAA regulations when handling legal and medical records.
Requirements:
• High school diploma or equivalent required.
• 1+ year experience in litigation services, legal support, or a customer service role.
• Understanding of HIPAA compliance is preferred but can be trained.
• Exceptional attention to detail and strong accountability.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong data entry and typing skills with a focus on accuracy.
• Outstanding verbal and written communication skills.
• Positive client-first attitude with excellent customer service abilities.
• Team-oriented mindset with flexibility to adapt to changing priorities.
• Proficiency in Microsoft Outlook, Word, Adobe Acrobat, and standard office tools.
• Knowledge of legal terminology or deposition notices is a plus.
• Reliable attendance and strong work ethic.
• Flexibility to work occasional overtime or on-call shifts when needed
