Job Description

About the Role

We are seeking a highly organized and professional Front Office Administrator to join our team. In this critical role, you will be the face of our organization, ensuring every patient and visitor experiences exceptional service from the moment they arrive. Your expertise in administration and health records will directly contribute to the efficiency and accuracy of our daily operations.

Key Responsibilities

  • Manage front desk operations, including patient check-in, appointment scheduling, and handling inquiries.
  • Maintain and update Health Management Information Systems (HMIS) with precise patient data and records.
  • Ensure strict compliance with health record confidentiality and data protection protocols.
  • Collaborate with clinical and administrative staff to optimize workflow and patient flow.
  • Provide general administrative support, including filing, correspondence, and document management.

Qualifications & Requirements

Education & Experience

  • Diploma in Front Office Administration, Business Administration, Health Records, or an equivalent qualification.
  • Minimum of two (2) years of proven experience working in a service-oriented industry (healthcare environment is strongly preferred).

Technical Skills

  • Proficiency in computer skills is essential, especially in Health Management Information Systems (HMIS) and standard office software (e.g., MS Office).

  • Strong communication and interpersonal skills with the ability to interact professionally and empathetically with patients, families, and colleagues.
  • Excellent organizational skills and a high level of attention to detail.
  • Ability to multitask, prioritize tasks, and remain calm under pressure in a fast-paced environment.
