Job Description

Role Overview

As a PI Case Manager Assistant, you will be the operational anchor of our pre-litigation personal injury department, collaborating closely with Case Managers to propel cases toward resolution. Day to day, you will handle the behind-the-scenes coordination that keeps cases on track: interacting with insurance companies, medical offices, and clients to collect documents and confirm financial details. Your diligence ensures that every file is complete and ready for settlement, which directly impacts how quickly and favorably our clients' claims are resolved.

Key Responsibilities

  • Open new insurance claims and follow their progress with adjusters, subrogation units, and MedPay/CARE providers.
  • Request, monitor, and review police reports, medical records, and billing statements from healthcare providers.
  • Arrange medical appointments and transportation for clients, keeping them updated with compassion and clarity.
  • Confirm ongoing and final billing balances with medical offices to get cases ready for settlement.
  • Compile and audit full case files before passing them to demand writers.
  • Juggle a large pre-litigation caseload, setting priorities to meet tight timelines.
  • Keep detailed case notes and records up to date in Litify or Salesforce.

Requirements & Qualifications

  • One to two years of experience as a case manager assistant, case manager, or legal assistant, all within personal injury law firms. (Intake specialist-only backgrounds are not a fit.)
  • Bachelor's degree completed or currently in progress; fields like law, health sciences, or similar are preferred.
  • Advanced English proficiency required; Spanish/English bilingual is a strong advantage.
  • Ability to type at least 40 words per minute.
  • Practical experience with Litify or Salesforce legal CRM systems.
  • Demonstrated success handling many pre-litigation cases simultaneously in a fast-moving legal office.
