Role Overview
We are seeking a highly organized, technically grounded Assistant Fleet Supervisor to coordinate our distribution asset workflows and optimize regional transit operations. Your primary objective is to maintain maximum operational uptime across a commercial fleet of vehicles and delivery motorcycles, tracking them from daily route dispatch and fuel efficiency audits through to preventative workshop repairs. This position bridges mechanical diagnostics with structured administrative control; you will monitor line-level driver behavior, verify strict NTSA licensing compliance, and keep transparent maintenance logbooks. The role calls for an analytical logistics professional who can prevent operational friction, eliminate asset downtime, and enforce tight transport budget safety constraints.
Scope of Responsibilities
Fleet Distribution & Route Alignment
- Assist in directing the daily field deployment of corporate delivery trucks, utility vans, and distribution motorcycles to meet fast-paced commercial delivery runs.
- Map and adjust operational transit paths, scheduling driver shifts and asset utilization structures to lower regional transport overheads.
- Monitor tracking software and route compliance daily to address transit bottlenecks, unauthorized stops, or route deviations immediately.
- Sync closely with warehousing, procurement, and outbound logistics divisions to ensure assets match distribution capacity forecasts.
Maintenance Coordination & Diagnostics
- Coordinate with contracted garages and certified workshops to organize routine manufacturer servicing, urgent mechanical overhauls, and body repairs.
- Conduct regular visual and mechanical vehicle walk-throughs to diagnose underlying electrical, engine, or braking faults before breakdown occurrences.
- Monitor the quality of external garage repairs, verifying parts replacement authenticity and holding service providers to strict service deadlines.
- Establish precise asset servicing lifecycles to protect the long-term trade-in value of our delivery inventory.
Statutory Compliance & Cost Auditing
- Perform methodical inspections across vehicles to ensure total compliance with national road safety frameworks, municipal loading parameters, and interior cargo space hygiene rules.
- Validate the continuous renewal of commercial motor insurance policies, speed governor certifications, transit permits, and annual inspection sheets.
- Track individual vehicle fuel drawdowns, cross-referencing automated fuel card histories with manual driver logbooks to identify fuel siphoning or operational waste.
- Compile and cross-examine comprehensive trip logs, tracking mileage, engine hours, and tire wear analytics.
Driver Supervision & Operational Reporting
- Assist in managing the day-to-day discipline, road conduct, and scheduling compliance of our team of distribution drivers and delivery riders.
- Coordinate practical onboarding runs for incoming drivers, verifying licensing validity, defensive driving capabilities, and route knowledge.
- Document road collisions, mechanical breakdowns, and traffic incidents, preparing comprehensive fault and insurance claim folders.
- Formulate clear daily vehicle check sheets alongside detailed weekly and monthly operational expenditure reports for senior leadership review.
Skills & Experience Required
Minimum Entry Criteria
- Academic Foundation: Degree or Diploma in Mechanical Engineering, Automotive Engineering, Fleet Management, Transport & Logistics, or a complementary technical line from a recognized center.
- Professional Longevity: Minimum of 3 years of active experience in fleet management, workshop supervision, or multi-asset transport operations—preferably within a high-volume consumer goods (FMCG) distribution infrastructure.
- Technical Asset Literacy: Strong working familiarity with multi-make vehicle and motorcycle mechanics, engine diagnostic markers, and local preventative repair timelines.
- Data Management: Exceptional record-keeping practices with clean capability formatting logistics analytics inside Microsoft Excel and modern fleet management software systems.

- Operational Agility: High multitasking capability with the power to coordinate multiple vehicle breakdowns, parts sourcing tasks, and delivery schedules simultaneously.
