COLSA Corporation is seeking experienced Senior Administrative Specialists to support a USAF contract. This opportunity is designed for highly organized administrative professionals who can support government operations, coordinate complex activities, and manage documentation within a defense environment.
The selected candidate will assist directorates and divisions with executive scheduling, program coordination, records management, travel support, reporting, and administrative operations. This role requires strong attention to detail, knowledge of DoD processes, and the ability to work with internal teams, government personnel, and external organizations.
Key Responsibilities:
• Support daily administrative operations for USAF directorates, divisions, and program teams.
• Coordinate executive calendars, meetings, briefings, agendas, and official documentation.
• Process non-disclosure agreements and support handling of sensitive and proprietary information.
• Assist with technical materials, management presentations, reports, and meeting documentation.
• Maintain and update organizational schedules, calendars, and program tracking systems.
• Support planning, editing, development, publication, and storage of program documents, reports, briefings, and presentations.
• Organize and facilitate meetings, including VTC coordination, conference room preparation, and meeting logistics.
• Prepare visual aids, briefing materials, charts, and presentations for leadership meetings.
• Maintain official records, file plans, and documentation systems using AFRIMS or other approved information management systems.
• Assist with domestic and international travel arrangements and travel voucher processing.
• Verify data accuracy for ATAAPS, DCPS, DTS, CSR, in/out-processing, and records management systems.
• Support suspense tracking, milestone planning, scheduling, and decision documentation.
• Provide administrative assistance for management, financial, contracting, engineering, logistics, and program activities.
• Track civilian and military decoration programs and training budget information.
Requirements:
• High School Diploma or GED required.
• Minimum 10 years of experience as an administrative professional.
• Minimum 5 years of Department of Defense (DoD) experience required.
• Ability to obtain and maintain a Secret security clearance.
• U.S. Citizenship required.
• Working knowledge of desktop applications, including word processing, spreadsheet, and database software.
• Strong organizational, communication, and documentation management skills.
• Ability to support classified and unclassified administrative activities.
Preferred Qualifications:
• Experience using Defense Travel System (DTS).
• Experience using Automated Time Attendance and Production System (ATAAPS).
• Experience using Defense Civilian Pay System (DCPS).
• Experience using Functional Area Records Management (FARM).
• Experience using Air Force Records Information Management System (AFRIMS).
• Experience using Senior Officer Communication and Coordination Electronic Resource (SOCCER).
