Description:
Amgen is seeking an organized and detail-oriented Administrative Coordinator to provide high-level administrative support to Executive Directors, Directors, and cross-functional teams within the Precision Medicine organization. This role requires excellent coordination skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare and biotechnology environment.
The successful candidate will support executive operations, coordinate meetings and travel, manage documentation, assist with departmental processes, and collaborate with internal and external stakeholders. Key Responsibilities:
• Manage complex calendars and schedule meetings across multiple time zones using Outlook.
• Coordinate administrative processes including invoicing, purchase orders, and vendor-related activities.
• Arrange domestic and international travel and prepare expense reports.
• Support the creation and formatting of presentations and business documents.
• Maintain distribution lists, contact records, and organizational documentation.
• Organize and manage departmental files and administrative records.
• Coordinate relationships with external experts, vendors, and business partners.
• Plan and support local and international meetings, including logistics, accommodations, and visitor arrangements.
• Reserve meeting spaces and ensure required equipment, catering, and setup are completed.
• Organize and facilitate large internal and external meetings.
• Support special projects and initiatives as assigned by leadership.
• Manage conference registrations, memberships, subscriptions, and departmental requirements.
• Provide backup administrative support to other coordinators when needed.
Requirements:
• Associate’s degree with 2 years of administrative experience.
• OR Technical school education with hands-on administrative experience.
• OR High school diploma/GED with 4 years of administrative experience.
• Strong written, verbal, and presentation communication skills.
• Excellent organizational, time management, and problem-solving abilities.
• Ability to handle confidential information with professionalism and discretion.
• Experience supporting executives, leadership teams, or cross-functional departments preferred.
• Ability to work effectively with remote teams in a fast-paced environment.
• Strong knowledge of:
• Microsoft Excel, PowerPoint, Word, and SharePoint
• Outlook calendar management and meeting coordination
• Administrative operations, documentation, and vendor coordination
• SAP and Learning Management Systems is preferred
