Job Description
Administrative Assistant (360) plays a key role in delivering centralized administrative and operational support across multiple departments or business units. This position focuses on improving efficiency, standardizing processes, and ensuring consistent, high-quality service to internal stakeholders. The successful candidate will be detail-oriented, analytical, and service-driven, with the ability to manage multiple priorities effectively.
Key Responsibilities
- Process Improvement: Review and assess existing departmental procedures to identify opportunities for simplification, standardization, and efficiency enhancement.
- Centralized Support Services: Provide shared administrative support to internal teams such as Finance, Human Resources, Procurement, and IT, acting as the primary point of contact for inquiries, service requests, and issue resolution.
- Operational & Transactional Support: Manage day-to-day administrative transactions including invoice handling, expense claims, payroll coordination, and vendor-related activities in line with organizational policies.
- Information & Data Management: Maintain accurate records, databases, and documentation, ensuring data accuracy, consistency, confidentiality, and proper record-keeping standards.
- Reporting & Performance Monitoring: Prepare and analyze reports related to KPIs, SLAs, and operational performance, offering insights and recommendations to support continuous improvement.
- Compliance & Risk Management: Ensure all shared services activities comply with internal policies, regulatory requirements, and governance standards, supporting audit readiness and risk mitigation.
- Training & Knowledge Transfer: Create user guides and training materials, deliver system and process training, and promote collaboration and knowledge sharing within the SSU and across departments.
Qualifications & Skills
- At least 3 years of experience in administrative support, customer service, finance operations, human resources, or a related discipline.
- Strong working knowledge of MS Office applications (Word, Excel, PowerPoint, and email platforms).
- Proven analytical and problem-solving abilities with attention to detail.
- Excellent verbal and written communication skills, with the ability to engage effectively with stakeholders at all organizational levels.
- Experience in database management, event coordination, and file/record organization.
- Ability to work independently, manage competing priorities, and meet deadlines in a fast-paced environment.
