Role Overview
This role combines day-to-day administrative oversight with hands-on operational and logistics management, ensuring that office workflows, supply chains, and event schedules run smoothly. By coordinating inventory, vendors, and budgets, you will directly support the organisation’s efficiency and help deliver seamless internal and external events. Your work will be central to keeping multiple teams aligned and meeting deadlines without friction.
Key Responsibilities
- Direct office administration, including maintenance of files, correspondence, and internal processes that keep daily operations running.
- Plan and execute logistics for events, from venue selection and vendor coordination to on-the-day management and post-event wrap-up.
- Oversee inventory levels and supplier relationships, negotiating terms and ensuring timely replenishment of materials and supplies.
- Manage operational budgets – track expenses, forecast needs, and report variances to leadership.
- Create and maintain schedules for projects, deliveries, and team milestones, adjusting priorities as deadlines shift.
- Act as the central point of contact between departments, external partners, and stakeholders to resolve operational bottlenecks.
- Implement and improve administrative procedures, using Microsoft Office and management tools to document workflows and increase accountability.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Logistics, or a closely related field.
- 3–5 years of hands-on experience in operations, administration, logistics, or event management – ideally in a similar multi-disciplinary environment.
- Proven ability to plan complex tasks, organise resources, and lead small teams or cross-functional groups toward deadlines.
- Direct experience managing inventory systems, evaluating supplier performance, and controlling operational budgets.
- Strong written and verbal communication skills, with a track record of building trust with internal and external stakeholders.
- Comfort working on several projects simultaneously, reprioritising as business needs change without losing attention to detail.
- Advanced proficiency in Microsoft Office (Excel, Word, Outlook) plus familiarity with operational management or project tracking software.
- A proactive, detail-oriented mindset and a professional demeanour when handling sensitive information or high-pressure situations.
